The Contract and Insurance Administrator reports to and works under the direction of the Controller and performs the following primary responsibilities:
Oversees contracts through the full lifecycle including contract review and execution
Review contractual documents and performance requirements to ensure adherence to company policy, government specifications and requirements, customer specifications, conformance to agreements and accordance with legal requirements
Develop and maintain a comprehensive contract framework and repository, ensuring proper documentation, version control and accessibility
Stay updated on relevant regulatory changes and make adjustments as necessary
Ensure timely insurance compliance with vendors, customers, and subcontractors
Identify problem areas and make recommendations for change, as appropriate
Monitor and track contract deliverables, milestones and key dates to ensure compliance and timely execution
Conduct regular audits to identify discrepancies or trends and take appropriate corrective actions
Coordinates with internal stakeholders to address terms and conditions, project scope, product, and other aspects of the contract
Acts as an agent for the company by interfacing directly with vendors and operations managers
Interpret Master Service Agreement contracts and document changes as appropriate
Respond to inquiries regarding contractual obligations and revisions.
Initiate documentation to authorize work in accordance with contractual specifications
Develop reporting as appropriate, identify problematic trends and make corrections as required by each situation
Respond promptly to managers' queries
Assists Finance and Accounting departments with various projects
Perform other duties as assigned
Other Responsibilities include:
Collaborate with project teams and key stakeholders, including legal, safety, corporate insurance & procurement to ensure or develop appropriate risk transfer strategies.
Assist with 3rd party insurance tracking by conducting audits and training for contract administrators
Proactively educate and advise internal stakeholders and contract admins on coverage options, policy reviews and use of company insurance tracking software
Coach internal stakeholders in contract and insurance risk assessment
Work Requirements
Pass a pre-employment drug screen and criminal background check
Must be able to provide valid documentation for the I-9 requirement
Education/Experience
High School diploma or general education degree (GED). Bachelors degree in Business Administration, Law or related field is an advantage
Three (3) years of legal or contracts experience
Requires proficient use of office equipment, Microsoft Office Outlook, Excel, Word, PowerPoint and the ability to work with various software programs that support business functions.
