As a File Clerk & Technology Support Specialist, you will be responsible for managing the file room, ensuring that client matter case folders are stored accurately and efficiently. In addition, you will assist with the maintenance and operation of office technology, including computers, printers, and other office equipment. This role also involves handling shipping logistics for office supplies, technology equipment, and client-related shipments.
Key Responsibilities
File Room Management & Document Control
Oversee the organization, storage, and retrieval of client case files in the file room.
Ensure that case files are properly labeled, indexed, and filed in accordance with firm protocols.
Maintain a clean and organized file room, conducting regular audits to ensure files are properly stored and accessible.
Assist attorneys and paralegals with file retrieval and organization as needed.
Technology Support & Maintenance
Provide on-site technical support for office computers, printers, copiers, and other technology equipment.
Assist with troubleshooting and resolving software and hardware issues, including coordinating with external vendors as necessary.
Assist with the setup, installation, and configuration of new technology equipment.
Support the IT team in routine maintenance tasks and technology upgrades.
Shipping & Receiving
Manage outgoing shipments of client materials and legal documents through FedEx, UPS, USPS, and other carriers.
Track and organize incoming shipments of office supplies, technology equipment, and client-related materials.
Receive, unpack, and distribute office and kitchen supplies, ensuring the office is well-stocked and operational.
Coordinate with external vendors for timely deliveries and shipments.
General Office Support
Provide general office assistance, including but not limited to, assisting attorneys and staff with various administrative and operational tasks.
Ensure that all office supplies are organized and readily available.
Provide timely support for ad-hoc office needs, including setup for meetings or events.
Qualifications
High school diploma or equivalent required; Associate's degree or relevant technical certification is a plus.
Experience in file management, office support, or technology assistance is preferred.
Strong knowledge of office technology, including computers, printers, copiers, and basic troubleshooting.
Familiarity with shipping and receiving procedures for FedEx, UPS, and USPS.
Excellent organizational skills and attention to detail.
Ability to multitask and prioritize tasks in a fast-paced environment.
Strong communication and interpersonal skills, with the ability to work effectively with all levels of staff.
Ability to lift and carry office supplies and technology equipment (up to 40 lbs).
Knowledge of legal document storage protocols is a plus, but not required.
