Due to an internal promotion, we now have an exciting opening for a Sales Administrative Assistant to join our dedicated and engaged team. This varied and busy opportunity is based out of our US Business Center (USBC) in Sugar Land, Houston.


The Sales Administrative Assistant will be responsible for meeting and greeting visitors to the Business Center, ensuring our company policies are preserved as well playing a vital role in connecting incoming callers with the appropriate department - ensuring requests are addressed in a timely manner. The successful candidate will also support sales related tasks. A super opportunity for a customer focused, professional and team spirited individual to make a great impact.

What you will be doing...




Front Desk Services:



  • Answer incoming calls and direct to the appropriate destination, managing general voicemail account each morning, after lunch and prior to leaving for the day.

  • Manage outgoing mail and receive incoming mail, ensuring it is received to the appropriate department in a timely manner.

  • Greet all visitors and notify the appropriate department as guests arrive.

  • Execute export control clearance for visitors arriving to the Business Center, coordinating WIFI and badge access, as required.

  • Provide hospitality and meeting support, coordinating food orders for Customer meetings and special events, as well as maintain basic amenities provided in our lounge.




Sales Support:



  • Serve as back up for distributing sales leads when the primary contact is away.

  • Participate in cases distribution.

  • Create and transmit customer invoices according to the instruction provided in customer purchase orders.

  • Update customer master data to ensure invoice transmittal instructions and vendor support contacts are maintained current within our SAP system.

  • Transact credit card transactions at shipment of goods, to ensure collections are reflected within 48 hours of shipping goods.

  • Assist with back-up to applying payments received by Customers in SAP.

  • Deposit payments received in the form of checks to local bank.

  • Assist with confirming inventory cycle counts.

  • Distribute channel partner commission statements and intercompany statements at month end.




What we are looking for:



  • High School diploma/ GED equivalent.

  • Professional demeanour with experience serving in an administrative function and the ability to multi-task.

  • Experienced user of Microsoft Office 365, primarily Outlook, Teams, Word, and Excel.

  • Proven interpersonal skills, with the ability to communicate clearly, articulately and succinctly in both oral and written form, with the ability to communicate to all levels within the organization.

  • Excellent organizational, time-management and work prioritization skills.

  • Bilingual (Spanish) would be advantageous.

  • Experience of using SAP and Salesforce.com would be beneficial.




Location: Sugar Land, Houston, Texas



Job Type: Full Time, permanent, Monday to Friday



Working hours: 7:45 AM to 4:45 PM each day




Pay rate $20 - $25 per hour




The above pay range represents a general guideline; Servomex considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.
