Role Overview
The Director of Operations will play a critical role in overseeing and optimizing the firm's day-to-day operations. This individual will be responsible for ensuring efficient workflows, implementing effective processes, managing operational risks, and implementing compliance with industry regulations. The Director of Operations will collaborate closely with senior leadership to execute strategic initiatives and enhance client service delivery. This professional will be a part of a talented and collaborative team of individuals who serve our clients with enthusiasm each day.
Responsibilities
Operational Strategy & Oversight
Develop and implement operational strategies and processes that align with the firm's mission and growth objectives.
Ensure the firm's operations run efficiently, minimizing operational risks and maximizing productivity.
Collaborate with senior leadership to define operational priorities and goals.
Process Optimization
Identify opportunities for operational process improvements and implement best practices to enhance the client experience.
Optimize workflows across departments to ensure timely and accurate delivery of services.
Leverage technology to automate and streamline manual processes.
Team Leadership & Development
Manage and mentor a team of operations professionals, ensuring they are aligned with the firm's operational objectives.
Foster a culture of collaboration, accountability, and continuous improvement within the operations team.
Conduct performance reviews, provide feedback, and identify professional development opportunities for team members.
Compliance & Regulatory Implementation
Collaborate with Chief Compliance Officer to implement procedures and develop team educational tools.
Oversee adherence to operational and regulatory policies and procedures
Client & Vendor Relations
Build and maintain relationships with third-party service providers, custodians, and other vendors.
Monitor and evaluate vendor performance to ensure services are being provided efficiently and cost-effectively.
Ensure that client onboarding, transfers, and other operational tasks are executed smoothly.
Reporting & Analytics
Provide regular reports and analysis to senior leadership on key operational metrics.
Use data and analytics to inform decision-making and drive continuous improvement.
Qualifications
Bachelor's degree in Business Administration, Finance, or a related field (Master's degree preferred).
7+ years of experience in operational leadership, preferably in a registered investment advisory or financial services firm.
Strong understanding of the financial services industry, including investment management, client service, compliance, and regulatory requirements.
Proven experience in process optimization, risk management, and operational efficiency.
Excellent leadership and team management skills with a demonstrated ability to develop talent and drive results.
Strong analytical and problem-solving abilities with a data-driven mindset.
Advanced proficiency with financial technology platforms, portfolio management software, and CRM systems.
Excellent communication skills, both written and verbal, with the ability to collaborate effectively across all levels of the organization.
Highly organized and detail-oriented, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
