We are seeking a highly organized and proactive Project Coordinator to join our dynamic team. This role plays a key part in facilitating the execution of engineering and construction projects by working closely with the Project Manager and project teams. As a Project Coordinator, you will provide administrative support, coordinate both internally and externally with clients, vendors, and project management, and contribute to ensuring the successful completion of projects.
Key Responsibilities:
Facilitate communication between vendors, suppliers, clients, and project teams throughout the project lifecycle.
Research and resolve project-related questions, providing accurate and timely answers.
Prepare and present meeting notes, reports, presentations, and tables using Excel, PowerPoint, Access, and other relevant programs.
Manage project setup, documentation, and updates to ensure proper tracking of progress.
Monitor project deadlines and milestones, providing support for monthly progress reports and action items.
Plan, coordinate, and facilitate on-site and off-site meetings, including project orientation, stakeholder meetings, team meetings, and periodic reviews.
Coordinate required training programs for project personnel in collaboration with the corporate training department to ensure compliance.
Obtain physical sign-off on project documents and maintain both electronic and paper files.
Verify the accuracy of project bills, invoices, trip tickets, and expense reports and process them promptly.
Manage IT resources for project offices and staff, liaising with internal support departments.
Assist with project closeout activities and provide follow-up reports on accounts receivable and unbilled issues.
Support the preparation of project cost forecasts and manage project deliverable priorities and deadlines.
Investigate and report unbilled project expenses to the Project Manager.
Assist in the preparation of client contracts and sub-contracts.
Develop and implement procedures for internal project requirements.
Comply with all company policies and standards.
Job Requirements:
Education & Experience: Bachelor's degree in a related field with 8 years of experience, or
Associate degree in a related field with 10 years of experience, or
High School Diploma/GED with 11 years of experience.
Ability to work independently with high accuracy, reliability, organization, and problem-solving skills.
Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint.
Excellent organizational, communication, and multitasking abilities.
Strong attention to detail and ability to prioritize tasks effectively.
Proven ability to communicate effectively with all levels of the organization.
