About the Role

This position reports to the SVP, People at our IncredibleBank branch location in Wausau, WI (17th Avenue) and allows you to partner with other team members and key stakeholders to provide Incredible Customer Experiences of your own! Duties and responsibilities may include:

  • Administers the organization’s payroll function. Responsible for multi-state payroll processing including preparation and maintenance of payroll to ensure the timely, accurate payment of all employees.
  • Reviews and verifies employee timecards and leave accruals. Facilitates the annual leave accrual process and analyzes/reports leave usage to management as appropriate.
  • Maintains employee data in HR, Payroll, and Timekeeping systems including manual updates for hires, terminations, benefit enrollments, position changes, and salary adjustments as necessary. Meticulously reviews entries to ensure that HR system reflects the source of truth.
  • Monitors and processes additional payroll transaction data such as incentives, commissions, bonuses, severance payments, and FMLA/Disability entries.
  • Serves as subject matter expert on employee pay issues and inquiries. Collects and maintains payroll-related reports, completes file submissions for benefit vendors, and reconciles accounts as needed. Stays abreast of all payroll state and federal legal requirements.
  • Reviews, validates, and approves quarterly and annual tax filings for third party administrator. Ensures tax payments and reporting requirements are processed according to government due date. Remains aware of withholding requirements and partners with state agencies to register for new states as needed in a timely manner.
  • Facilitates year-end payroll processes to ensure accurate W-2 reporting and develops each year’s Payroll, Deduction, and Holiday Schedules. Updates HR, Payroll, and Timekeeping systems as needed to meet requirements for the start of the next respective year.
  • Serves as primary expert in HRIS upgrades. Assist with maintenance and enhancements of HR systems. Set up new deduction and pay codes and test to ensure accuracy. Completes system maintenance based on role security set up in the HR/Payroll/Timekeeper systems. Partners with TPA consultants on system troubleshooting and reporting.
  • Coordinates and monitors benefit and 401k enrollment for all employees- advising on eligibility, costs, and coverages. Partners with the VP, Total Rewards to facilitate the annual and semi-annual open enrollment processes.
  • In partnership with business leaders, ensures compliance and leads internal department and corporate audits. Provides third party auditors with reasoning and backup as requested. Administers the SAFE Act/NMLS processes on behalf of the organization.
  • Reviews and responds to request for information from internal and external parties, including but not limited to employment verifications, unemployment requests, and departmental reporting.

This is a regular full-time position, averaging approximately 40 hours/week. Schedule may vary between the hours of 8:00 am to 5:30 pm CST Monday through Friday.

This position will work on-site at our IncredibleBank branch location on 17th Avenue in Wausau, WI.

  • Bachelors Degree in Accounting, Finance, or related field; and three to five years related experience and/or training; or equivalent combination of education and experience.
  • Proficient in using payroll software and compensation data management systems, with the ability to learn and adapt to new technologies.
  • Intermediate experience in Microsoft Suite products.
  • CPP designation through the American Payroll Association is preferred but not required.
  • Excellent data management, problem solving and analytical skills. Acute attention to detail.
  • Must be able to function in a team environment, cope with stress, and maintain a pleasant and cooperative temperament with internal and external partners.
  • Ability to understand and continually improve business processes and systems is required.
