Position Overview

We are seeking a highly organized and proactive Executive Assistant to support our Global SVP, Head of Business Development and SVP, Head of Accounts. You will provide administrative and operational support to ensure day to day activities run smoothly and efficiently.

Acting as a key support to senior leadership, the EA will assist with team collaboration, workload prioritization, forward planning, departmental projects, and new business initiatives.

Key Responsibilities
  • Project & Task Management:
  • Oversee and manage departmental projects, ensuring timely delivery, team and task co-ordination whilst maintaining momentum
  • Assist with tracking deadlines, project milestones, and deliverables.
  • Prepare and organise documents and presentations
  • Task prioritisation
  • Administrative support for RFPs, RFIs and pitch submissions

Executive & Administrative Support:
  • Meeting Coordination - Set agendas, take meeting notes, distribute minutes, and ensure follow-ups on key action items.
  • Calendar management; scheduling and co-ordinating meetings with team members, clients and partners
  • Travel & Expense Management

Communication Management
  • Draft and distribute internal comms, reports, and meeting summaries.
  • Prepare talking points, briefing notes and presentations for leadership and new business meetings.
  • Handle correspondence with clients and partners
  • Assist in managing new business inquiries

Team Co-ordination
  • Arrange and support the set up and preparation of team meetings and Training and reviews
  • Arrange Team and Client socials and event
  • Work closely with the CEO's EA to ensure alignment on executives priorities and optimize scheduling efficiencies. Additionally, provide light office coordination support as needed.

Key Skills
  • 5+years experience as an Executive Assistant preferably within a fast-paced, creative and dynamic environment.
  • Exceptional organizational skills and attention to detail.
  • Client and Partnership Management
  • Excellent written and verbal communication skills.
  • Ability to work autonomously and anticipate needs.
  • Proficient in various office software and tools.
  • Strong interpersonal skills and ability to build positive relationships with team members, clients and agency partners at all levels
