Job Description:

OVERVIEW

The Manager/Director of Client Services ("Manager") is a self-motivated member of the Tony Fay PR ("TFPR") team, assisting and facilitating overall operations and client stewardship for TFPR and clients ("Partners"). The Manager/Director will work cross-functionally, supporting several efforts, reporting primarily to the Vice President of Client Services, as well as the Chief Operating Officer ("COO"), while prioritizing projects assigned by the CEO.

  • Act as the primary point of contact for clients and partners, ensuring clear communication, timely deliverables, and alignment with client goals while managing expectations and coordinating with internal teams.
  • Oversee the planning, execution, and tracking of client projects, including media outreach, event coordination, and content creation, ensuring all initiatives meet deadlines and stay within budget.
  • Represent TFPR in partner meetings, ensuring effective communication of project timelines, deliverables, and expectations to the core team for seamless execution.
  • Oversee the planning, production, and execution of partner projects, including scheduling, timelines, checklists, vendor coordination, staffing, and talent booking, ensuring all tasks are completed on time and within scope.
  • Oversee on-site logistics, managing staff, vendors, and event flow to ensure all elements are delivered according to the client's specifications, resolving any issues promptly and ensuring the event runs seamlessly.
  • Lead on-site event production, ensuring all logistics, operations, and technical requirements are coordinated and executed smoothly, including venue setup, staging, A/V coordination, and ensuring adherence to event timelines.
  • Collaborate with internal and external teams to create detailed event plans, including transportation, catering, equipment, and staff assignments, ensuring all logistics are in place for the smooth execution of live events.
  • Prepare internal materials for Partner support, including calendars, itineraries, agendas, briefing documents, and presentations, ensuring adherence to TFPR brand guidelines.
  • Plan and support press events or media tours, managing staffing, itineraries, and run-of-show documents, while also overseeing media monitoring and reporting for assigned Partners.
  • Oversee financial bill backs, collaborate with accounting, and manage vendor bookings (e.g., photographers, videographers) to ensure smooth project execution.
  • Provide on-site or virtual oversight of Partner meetings and events, including advance visits for tech checks, seat assignments, and material distribution, along with hosting internal briefings and debriefings.
  • Co-manage weekly staff agendas, provide updates and feedback, and contribute to TFPR's business development efforts by supporting new client growth and revenue diversification.
  • Contribute to TFPR team calls, collaborate with internal teams to optimize workflow using new project management systems, and suggest improvements for efficiency and effectiveness.
  • Proactively identify opportunities to position TFPR as an industry leader, suggesting and executing new ideas and strategies with approval from leadership.

QUALIFICATIONS AND SKILLS
  • Must be based in the Dallas-Fort Worth Metroplex.
  • Bachelor's degree required.
  • A minimum of 4 years of combined experience in the fields of public relations, communications, marketing, brand management, journalism, sport management, operations or similar fields.
  • Significant experience and familiarity with media organizations in the Dallas-Fort Worth region.
  • Ability to lead meetings, prioritize projects, and work independently or in teams to meet deadlines.
  • Proven experience in planning, coordinating, and executing events of varying scales, from small meetings to large-scale conferences and activations.
  • Strong understanding of event logistics, including vendor management, staffing, scheduling, and technical setup, with a demonstrated ability to handle multiple aspects of event production simultaneously.
  • Ability to adapt event strategies and logistics to meet the unique needs of different events, ensuring successful execution regardless of scale or complexity.
  • Relationship-oriented and logistically-minded, with problem-solving abilities.
  • Experience writing, developing and pitching press releases and media advisories.
  • Experience in tracking and measuring impact of coverage on traditional and social media.
  • Ability to work independently and in a group setting, while prioritizing multiple projects and meeting strict deadlines for deliverables.
  • A high degree of personal initiative with the desire and ability to meet aggressive goals.
  • Experience working with media outlets and an understanding of the news media.
  • Excellent written and verbal communication skills; ability to infuse creativity, innovation and insight into writing projects.
  • Superior organizational skills, with high attention to detail.
  • Excellent written and verbal communication with creative and insightful writing abilities.
  • Proficiency in Google Workspace, MS Office, social media platforms (Facebook, X, Instagram, LinkedIn), and strong organizational skills.
