Job Description:

My client, the premium firearms manufacturer in the US (hint: they were awarded the largest small arms contact in US military history back in 2023!) is looking for a full time Executive Assistant to the CMO!

This role will include calendar management, travel, expense reports and all other project management and ad hoc admin and office tasks. Will be directly supporting the CMO but may get a chance to work with and support other c-level executives as well, so great exposure!

Location: Newington, NH

Salary: 65-70K

Onsite 5x a week

Position Summary:

The Sr. Administrative Assistant will provide essential administrative and coordination support to senior management, ensuring efficient company operations. The ideal candidate excels in multitasking, handling confidential tasks professionally, and thriving in a fast-paced environment. Self-motivation, adaptability, and a willingness to learn are key. This role will be primarily assisting a specific Senior Executive or team and occasional support for other senior staff as assigned.

Job Duties and Responsibilities include but not limited to:
  • Provides executive-level administrative support, including complex calendar management, strategic prioritization, complicated travel arrangements, and meticulous processing of travel expenses to optimize executive efficiency.
  • Writing and preparing reports, presentations and correspondence for the senior management team.
  • Plans, organizes, schedules, and executes complex meetings, events, hospitality, and hosted gatherings for both internal and external groups, utilizing a variety of platforms and locations, including on-site, off-site, and video conferences.
  • Provides high-level administrative support for strategic projects and cross-functional teams, ensuring seamless execution and alignment with organizational goals.
  • Set-up new vendors for processing payments and purchase orders.
  • Collaborate with the administrative team to ensure seamless back-up coverage and uninterrupted support during high-demand periods or absences.
  • Manages administration of resources, company-wide scheduler via Outlook to manage conflicts and room reassignments as required for the organization.
  • Oversees office logistics, including managing supplies, distributing correspondence for the supported team, and handling incoming communications to ensure efficient daily operations.

Education, Experience, and Required Skills:
  • Bachelor's degree or equivalent combination of education and professional experience.
  • 5 - 8 years of professional experience including 3+ years of executive level support preferred
  • Superb written, verbal and interpersonal communication skills.
  • Ability to demonstrate discretion in handling confidential data.
  • Strong time-management skills with the ability to be flexible while multitasking while always seeking a positive solution.
  • Ability to work independently and in a team, environment carry-out multiple tasks from start-to-finish with the aptitude to anticipate and prioritize what needs to be done with keen attention to detail.
  • Strong situational awareness with the ability to anticipate needs, navigate dynamic environments, and respond proactively.
  • Proven experience in coordinating cost-effective travel and meeting arrangements while optimizing schedules and budgets
  • Sophisticated knowledge of spreadsheets, databases, presentation software and the Internet/social platforms.
  • Highly proficient in using MS Outlook and MS Office with an aptitude for learning new software and systems.

Working Conditions:
  • Prolonged periods of sitting at a desk and working at a computer using a keyboard and mouse performing repetitive tasks.
  • Ability to open file cabinets, reach with hands and arms, bend, and twist, lift and move files.
  • Ability to lift up to 25 pounds.
  • Must wear required Personal Protective Equipment (PPE) where required.
  • Must comply with all work exposure EH&S training requirements and adhere to SIG SAUER Inc. Security Mandates.
