Job Description:

Job Summary:
We are seeking an initiative-taking, organized, and detail-oriented Executive Assistant to provide administrative support to the Chief Financial Officer (CFO) and other executives. The ideal candidate will be responsible for managing day-to-day office operations, facilitating communication between departments, and assisting with financial documentation and reporting. This role requires strong multitasking skills, professionalism, and the ability to handle confidential information.
Key Responsibilities:
1. Administrative Support for CFO:
Manage the CFO's calendar, including personal commitments, schedule meetings, and arrange travel logistics.Prepare and organize financial documents, reports, and presentations.Coordinate communication between the CFO and other departments or external stakeholders.Handle confidential financial data with discretion and maintain secure filing systems
2. Office Operations Management:
Maintain office organization, including filing systems and office space.Address office maintenance needs and ensure the workspace is well-organized and professional.Maintain the executive conference room and ensure availability and operation of communications equipment.
3. Financial Documentation & Reporting:
Assist in preparing financial reports, spreadsheets, and budgets.Track expenses and receipts for CFO approval and assist with financial data entry.Help with the preparation of audit materials and liaise with accounting teams for document preparation.
4. Project Management & Coordination:
Assist in the coordination and tracking of financial projects or initiatives.Help prepare project timelines, status updates, and reports for the CFO.
5. Communication & Coordination:
Draft and proofread internal and external communications for the CFO.Serve as the point of contact for inquiries related to financial matters.Schedule and organize meetings for the CFO with other team members, clients, or vendors.
6. Miscellaneous:
Perform other duties as requested to ensure the smooth operation of the office and support of the CFO and other executives.
Qualifications:
Proven experience as an Office Manager, Executive Assistant, or similar administrative role, preferably in a financial or corporate setting.Strong organizational skills with attention to detail.Excellent written and verbal communication skills.Ability to handle confidential information with integrity.Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and financial software is a plus.Experience with scheduling software and office management systems.Strong multitasking and time management abilities.Knowledge of basic financial terminology and accounting principles is preferred.
Education and Experience:
High school diploma or equivalent required; a bachelors degree in business, finance, or a related field is a plus.2+ years of experience in office management or an administrative support role.
