General Description


The Alumni Relations and Special Events Coordinator plays a vital role in fostering meaningful relationships with alumni, planning events and supporting community engagement initiatives. This position is responsible for engaging alumni with the college, organizing special events, and collaborating with internal and external stakeholders to strengthen ties and promote ASU-Beebe's mission.





Essential Duties and Responsibilities


1. Develop and implement programs to engage alumni, strengthen connections with the college, and build loyalty through recognition, appreciation events, and targeted donor outreach.
2. Maintain and update accurate alumni records and databases while coordinating communications such as newsletters, social media updates, and event invitations.
3. Collaborate with the marketing team to develop materials and strategies to promote alumni events and track engagement and participation to evaluate success and identify areas for improvement.
4. Plan, organize, and execute special events like reunions, homecomings, and alumni gatherings, overseeing logistics such as venue selection, catering, audiovisual needs, and on-site production.
5. Serve as the primary point of contact for the ASU-Beebe Alumni Association, coordinating all board activities, facilitating communication, and providing administrative support for meetings and initiatives. Assist with organizing board meetings, maintaining records, and ensuring effective engagement between the institution and alumni network.
6. Work with internal departments, vendors, and participants to ensure seamless event planning and execution, while establishing event goals, timelines, and budgets to meet measurable outcomes.
7. Attend Chamber of Commerce meetings and monitor community communications to identify engagement opportunities and secure sponsorships for campus and community events.
8. Collaborate with the Facilities and Events Specialist to schedule and coordinate events on the college master calendar.




The ability to work evening events and some weekends is required. Light travel is required.


Required Qualifications:



  • A minimum of two years of college is required.

  • Experience working with and connecting to a large and diverse community of people.

  • At least two years of face-to-face customer service, public relations, or related activity with the public is required.


Preferred Qualifications:

Bachelor's degree preferred.
