Collaboration with the Founder
The Chief of Staff works as the founder's right-hand, partnering closely to drive the company's vision and strategy. Key aspects of this collaboration include:
  • Execution & Prioritization: Act as a bridge between the founder's vision and company-wide implementation, managing priorities and delegating tasks to keep projects on track.
  • Strategic Partnership: Collaborate directly with the founder to shape and execute business strategies, ensuring that daily operations align with long-term goals.
  • Trusted Advisor: Serve as a sounding board for ideas and initiatives, providing thoughtful insights and practical solutions to enhance operational efficiency.
  • Liaison Role: Facilitate seamless communication between the founder and various teams, ensuring that key messages and directives are clearly conveyed and understood across the organization.
  • Proactive Problem Solver: Identify challenges early and work closely with the founder to address them, turning obstacles into opportunities for growth and improvement.

Key Responsibilities
  • Financial Oversight & Contract Management: Manage client, vendor, and operational payments (AR/AP), collaborate with the finance team for timely monthly closings, and ensure client contracts are compliant and paid on time.
  • Process & Operational Optimization: Lead continuous improvements in internal workflows, integrate EOS initiatives with weekly leadership meetings, and oversee employment contracts along with new hire onboarding.
  • Facilities, Fleet & Insurance Administration: Supervise facilities maintenance and compliance, manage fleet operations, and coordinate health insurance reviews, renewals, and provider payments.
  • Technology & Communication Support: Provide operational support for CRM systems (e.g., monday.com), e-commerce platforms (Shopify, Squarespace), payroll processing, software implementations, and manage inbound third-party emails.

Qualifications
  • Experience & Education:
  • Proven track record in an operations, administrative, or project management role, preferably within a creative or design-oriented business.
  • Bachelor's degree in Business Administration, Operations Management, or a related field
  • Skills & Competencies:
  • Strong financial acumen with experience in banking, vendor management, and payroll oversight.
  • Excellent organizational and project management skills with an ability to handle multiple priorities simultaneously.
  • Proficient in technology and software implementation, with familiarity in CRM, e-commerce, and communication platforms.
  • Exceptional interpersonal and communication skills with an aptitude for problem-solving and process optimization.
  • Personal Attributes:

  • Ability to work independently and collaboratively, with a strong sense of initiative and accountability.
  • Resides in the Truckee/Tahoe area
