About the position:
The Manager, Lease Administration is a key position on the leasing team and is responsible for initially drafting lease documents through execution. This is a fast paced position with an established leasing team. The successful candidate will develop and maintain critical internal relationships throughout the company but with a focus on leasing, legal, property management, construction, teams. The Manager, Lease Administration will also be the primary person that ensures the standardization and compliance of all lease documents, policies and procedures. The Manager, Lease Administration will also be a partner and assist supporting to the O&I team and will report directly to the Senior Vice President of O&I.
Job Responsibilities:
- Must be able to create and draft leases and documentation for for commercial office building transactions in the the CRE industry is highly desired. The Manager, Lease Administration will be primarily responsible for drafting and updating subsequent versions of lease documents (leases, amendments, assignments, SNDAs, letter agreements, commission agreements, agency agreements, confidentiality agreements, etc.) for tenant execution through utilization of letters of intent or information provided by leasing agents is a critical component for the Manager, Lease Administration. - The Manager, Lease Administration will also provide both standard and specific language for lease documents and integrate comments from multiple sources (such as legal, construction, property management, insurance, tenant, tenant’s attorneys, etc.) to ensure compliance and continuity. This position must be able to create any necessary ancillary documents along with primary lease documents such as commission agreements, letter agreements, SNDAs, etc. - Create visual exhibits for all lease documents illustrating location of premises, additional space, demising walls, etc. for inclusion in lease documents. - Review all incoming lease documents and prepare document execution folders for legal review including compiling all partially executed documents, management memorandums, lease analysis, credit analysis, tenant entity information, etc. - Partner with BFS/ SCI finance departments to manage the approvals and lender execution and provide all necessary documentation to lenders. - Partner with property management, leasing broker, shopping center leasing and legal to prepare lease documents, distribute documents to tenants and process documents for execution and distribution for O&I shopping center.
- Ensuring compliance with applicable federal, state and local regulations. Responsible for sending all required departments any documents received for landlord’s execution to review to ensure reporting compliance with Sarbanes-Oxley. - Responsible for maintaining master lease documents (master leases for each property, master amendment forms, SNDA forms from lenders, master stipulations, etc.) and making all necessary and requested modifications to the master documents (from legal, property management, construction, insurance, etc.).
- Coordinate with property managers to obtain most recent rates for parking, after-hours HVAC, etc. after annual budgets have been completed.
- This position will also be responsible for coordinating communication to the appropriate department and will create, distribute for internal approvals with property management and/or accounting, and forwarding to tenant for execution, all commencement and estoppel agreements which are required for all new leases and additional space amendments. Process tenant-executed commencement and estoppel agreements, process agreements through legal and for officer execution.
- Distribute fully executed lease documents to all applicable parties using email distribution lists, submit management committee memorandums and lease analysis to management committee, and send all documents for scanning and filing.
- The Manager Lease Administration is responsible for reporting and must maintain the electronic file maintenance and tracking of all department documents, agreements, licenses, policies and procedures. - Responsible for compiling and preparing various monthly reports. - Manage and distribute to the appropriate parties all tenant inquiries and general O&I correspondence. - Provide administrative support for the O&I department and all other duties as assigned. Skills and Abilities:
- Ability to use internet and online state-operated databases to research and use deductive reasoning to determine the proper entity names for potential tenants and whether tenant entity is in good standing for all and new leases.- Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, Adobe Illustrator/Corel Paint Shop Pro and Workshare Compare.
Experience & Education:
- 5+ years of relevant experience and/or training, or equivalent combination education and experience.- Prior experience in the CRE, legal, or real estate advisory industries working on lease transactions is highly desired- Prior experience drafting and managing the commercial leasing process is critical to the success of the position - Bachelor’s degree and/or certification in related field or equivalent experience required.
