Serves as Assistant to the Chair and Administrator in the Department of Ophthalmology; plans, oversees and coordinates administrative activities in Chair's office; acts on behalf of Chair and Department Administrator to ensure appropriate action is taken to meet department goals and guidelines; collaborates with Chair and Department Administrator to understand strategies, initiatives and priorities; assesses concerns or problems directed to Chair's office, determines course of action and delegates to appropriate person to manage; conveys directives and sensitive information; provides administrative support to Chair; handles and drafts responses to confidential and sensitive correspondence as requested; responds to routine correspondence; determines priorities, coordinates and administers Chair's complex schedule and extensive calendar functions; determines issues for discussion and prepares agendas; researches or obtains background information on issues for meetings and speaking engagements; identifies and prepares talking points; records, transcribes and distributes minutes; arranges and coordinates all national and international travel plans; organizes and prepares travel itineraries; researches, coordinates and writes a wide range of writing projects; assists with preparation and coordination of manuscripts, abstracts and grant proposals; assists in developing and implementing administrative policies and procedures; coordinates faculty recruitment activities; serves as Chair's liaison to medical center, practice plan, university, city, state and national key officials and consultants.
Minimum Education Required
High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred.
Minimum Required Qualifications
4 years of relevant experience required. 6 or more years of relevant experience preferred. 6 mos. experience (600 hrs course work or training) in customer service or communications, including researching, analyzing and interpreting information. 3 mos experience (300 hrs course work) in budgeting; 3 mos experience (300 hrs coursework) in supervision management and 3 mos. experience (300 hrs coursework) project management and /or finance; 6 mos experience (600 hours coursework) in desktop productivity applications.
Requires successful completion of a background check. Qualified candidates may be requested to complete a pre-employment physical including a drug screen.
