Pay: $22-$24 an hour, depending on experience.

Position Overview

The HR Data Specialist position is primarily responsible for entering and maintaining the integrity of employee information within the hiring and payroll systems. Work with the Human Resources, Payroll, Benefits, and Operations Teams across region to ensure accurate and efficient use of systems for all employees.

Key Responsibilities (Essential Duties and Functions)


  • Enters, updates, and maintains employee information in HRIS system all employees current and new.

  • Following the HR ViewPoint Playbook to ensure accurate data pertaining to:

    • New Hire Set-Up

    • Terminations

    • Address Changes

    • Employee Data Updates

    • Promotions

    • Demotions

    • Status Change

    • Payroll Updates

    • Current Data Clean-Up

    • Other Changes as Requested

    • Hybrid position



  • Coordinate and document all claims and reports relating to specific state workforce development and unemployment offices.

  • Point person to order employee handbooks as needed.

  • Assists Human Resources Director and Division Data Solutions Specialist with administrative responsibilities and special projects, including compilation of data, data analysis, HR vendor payments, and report preparation/generation.


  • Maintains professional demeanor in dealing with critical/highly confidential information; restrict discussion/ knowledge of activity to a "need to know" basis.

  • Provide various ad hoc reporting by request (i.e., List of Active Employees, Total Hours Worked, Union Employees, etc.)

  • Work with national HRIS project teams to help create Standard Operating Procedures (SOPs) associated with Data entry and maintenance.

  • Help establish, implement, and sustain data governance practices.

  • Lead gathering and reporting of required employee data to governmental agencies and internal departments as needed.

  • Seek and share opportunities for business process improvements as it pertains to data entry and maintenance.

  • Provide quick, responsive, and friendly customer service as it pertains to our internal/external customers.

  • Complete regular auditing of data to ensure accurate and compliant data.

  • Advocate the importance of data accuracy and compliance.

  • Coach/train others to accepted levels of efficiency.

  • Build relationships with other Divisional Data Specialists to ensure consistency of data.

  • Regular and predictable attendance at assigned times is required.

  • Other duties as may be assigned.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience


  • High school graduate required.

  • Prior experience in human resources preferred.

  • Bi-Lingual preferred.

  • Ability to multi-task by planning effectively and prioritizing own workload

  • Self-starter and ability to work independently

  • Analytical mindset & digital capability

Work Requirements


  • Must be 18 years in age or older.

  • Must pass pre-employment physical, drug screen and criminal background check.

  • Strict adherence to safety requirements and procedures as outlined in the Employee and Safety Handbooks.

  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.

  • Must be willing to travel and work away from home when required.

  • Must be willing to work nights and weekends when necessary.

Knowledge/Skill Requirements


  • Knowledge of human resources policies and procedures.

  • Highly effective oral and written communication skills required.

  • Ability to operate office equipment including, but not limited to: computers, copiers, printers, etc.

  • Proficiency of MS Excel and Word applications required.

  • Ability to analyze issues independently.

  • Ability to perform under deadline pressure.

  • Ability to understand and follow complex verbal and written instructions.

  • Ability to meet attendance schedule with dependability and consistency.

  • Attention to detail and accuracy checks is critical
