Job Description:

Position Overview



Ultimate Staffing Services is actively seeking a dedicated and organized Administrative Assistant to join their client's team in Minnesota. The Administrative Assistant will play a crucial role in supporting various departments and ensuring smooth operations in the office.

Responsibilities



  • Process certification applications, including data entry.

  • Assist with registrations.

  • Provide support for Help Desk inquiries (e.g., login resets).

  • Screen calls, direct them, and respond to inquiries and emails professionally.

  • Offer first-line support for eye care professionals.

  • Deliver exceptional customer service

  • Prepare mass mailings and follow up on inquiries.

  • Maintain electronic and hard copy filing systems.

  • Provide administrative support to multiple departments.

  • Assist in the mailroom as needed.

  • Perform other duties as assigned.


Qualifications



  • Proficient with Microsoft Office Suite (Word, Excel, Access, PowerPoint, Outlook).

  • Tech-savvy with the ability to learn new systems.

  • Minimum of two years of administrative experience required.

  • Detail-oriented with strong organizational skills.

  • Strong written and verbal communication skills.

  • Excellent time management and multi-tasking abilities.

  • High School Diploma required; post-secondary education preferred.


Required Work Hours



Monday - Friday, 8:00 AM - 4:30 PM
