We are seeking a Temporary Damage Prevention Coordinator to support our Damage Prevention team. This role will assist in alleviating the HP triage process, managing the ticket management system, uploading maps, and handling non-billable damages. The position is designed to help the team get ahead before the new ticket management system project begins.
Key Responsibilities:
Assist with HP ticket triage, including calling all marked HP tickets to determine if a construction watch is needed.
Manage and upload maps into the ticket management system.
Track and process non-billable damages efficiently.
Perform general administrative duties, including:
Data entry, record-keeping, and maintaining files.
Monitoring and ordering office supplies.
Handling internal and external communications via email and phone.
Coordinate internal/external meetings and appointments, prepare agendas, and assist with meeting materials.
Prepare and process forms such as timesheets and requisitions, ensuring accuracy and compliance.
Create and maintain basic charts, graphs, spreadsheets, and reports for tracking and analysis.
Verify and cross-reference information for accuracy and completeness.
Support ongoing projects and assist the team as needed.
Required Skills & Qualifications:
Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook).
Intermediate-level Excel and Word skills.
Experience with SAP is preferred but not required.
Strong communication skills for interacting with internal and external stakeholders.
Detail-oriented and organized, with the ability to manage multiple tasks.
Ability to work independently and as part of a team.
