Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will be responsible for supporting our CEO & SVP by handling a variety of administrative and operational tasks.
Responsibilities
Provide high-level administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements
Serve as a primary point of contact for internal and external communications, handling inquiries, greeting visitors to the office, and directing them as appropriate
Prepare and edit correspondence, reports, presentations, social media posts, and other documents as required
Plan, coordinate, and execute meetings, and conferences, including logistics and materials
Monitor and manage project timelines, deliverables, and follow-up actions to ensure completion
Assist in the preparation of budgets, tracking expenses, and processing invoices and reimbursements
Conduct research, compile data, and prepare reports to assist executives in decision-making processes
Handle ad-hoc projects and tasks as assigned by executives
Assist with travel arrangements, including booking flights and accommodations
Maintain electronic documents
Support other administrative tasks as needed to ensure smooth office operations
Assist with Personal items as needed
Qualifications
Minimum of 4 years' experience in an Executive Assistant role
Exceptional organizational and time management skills
High level of professionalism and attention to detail
Strong written and verbal communication and interpersonal skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to multitask and prioritize tasks effectively
Strong editing and proofreading skills
Ability to think proactively and anticipate needs
Flexibility to work overtime on an as-needed basis
