Job Summary

This position will be on-site at the Lemont Refinery, reporting to the Training Department. This role is responsible for administering the Learning Management System (LMS), managing training records, and maintaining compliance-related documentation, adhering with internal record retention schedules. The position ensures that operational and maintenance procedures meet regulatory and refinery standards by developing, updating, and managing controlled documents. The role supports training initiatives by analyzing performance metrics, implementing document control best practices, and assisting with regulatory training compliance. This role ensures accurate recordkeeping, regulatory compliance, and efficient training program administration to support operational excellence.

Salary range: $100,000 - $116,000

Minimum Qualifications


  • Bachelor's degree with a minimum of 3 years of job related experience
    • 8 years of job related experience in lieu of degree


  • Experience with formal procedures in a refinery or regulated environment preferred

  • Advanced PC Skills

  • Administrative LMS skills

  • Regulatory and compliance knowledge

  • Graphic design/editing software knowledge

  • Collaborative

  • Highly organized with strong attention to detail

  • Valid driver's license

  • Ability to obtain a Transportation Worker's Identification Credential (TWIC)


Job Duties

  • Manage the creation, testing, and technical data for LMS/SAP Success Factors. This includes managing the personnel assignments, reporting, programs and curricula, and other support information integrated in the system
  • Oversee creation and delivery of necessary reports
  • Manage the creation and maintenance of new and existing CBTs, career paths, learning plans, lines of progression
  • Collaborate with various stakeholders to design, develop, and implement new training materials, career paths, and learning plans
  • Collaborate with stakeholders to implement new processes and system updates by providing training to affected end-users
  • Oversee, evaluate and troubleshoot the software and report any issues
  • Serve as the primary point of contact for Success Factors, managing user access, course assignments, and training records
  • Oversee the assignment and tracking of regulatory training
  • Generate reports and analytics to track training compliance and effectiveness
  • Support employees with troubleshooting and inquiries
  • Maintain data integrity and support audits
  • Maintain training records, certifications and compliance documentation
  • Provide technical support and end-user training
  • Manage regulatory records and compliance-related documentation
  • Maintain and manage documentation in compliance with OSHA, DOT, FRA, PHMSA, EPA
  • Ensure adherence to the internal record retention schedule and manage document archiving and disposal processes
  • Develop best practices and enforce document control policies and procedures
  • Collaborate with stakeholders to ensure proper documentation of regulatory training and compliance records
  • Develop KPIs to assess training completion and procedure compliance
  • Develop, maintain, and improve reporting processes
  • Procedure Management
  • Develop, review, and update procedures in collaboration with subject matter experts
  • Ensure procedures et al, align with industry standards, regulatory requirements, and company policies
  • Provide customer support, guidance, and training on procedure development, review and updates
  • Maintain a document management system for training materials, procedures, and compliance-related records
  • Perform audits to ensure adherence to requirements
  • Provide training and technical support for procedure management system(s)
  • Oversee the processes of Management of Change/Chain of Custody/Change Control
  • All other duties as required or assigned, including but not limited to:
  • Monitor and manage departmental email
  • Develop departmental communication
  • Participate in committees to support the refinery and its operations
  • Provide support for maintenance events as needed
