We are excited to announce that we are looking for a Full-Time Operations Project Coordinator to join our Long Island Gastroenterology Specialists team in Wantagh, NY.

SUMMARY: The Operations Project Coordinator provides support to the Practice Administrator and physician partners by leading various operational initiatives. These include but aren't limited to: supporting front-end workflow and efficiency; leading efforts to enhance procedure recalls; enhancing efficiencies in patient cancellations and rescheduling; supporting corporate initiatives regarding quality data reporting; supporting general administrative and front-end responsibilities, as needed; leading other ad hoc projects as and when defined by the Practice Administrator.

ESSENTIAL RESPONSIBILITIES:


  • Support front-end operations including, but not limited to, reception and procedure scheduling

  • Liaise with clinical and billing staff to ensure patient and physician issues and workflows are addressed

  • Support special projects, as and when identified by the Practice Administrator

  • Learn, observe and prepare recommendations for office workflow, scheduling, etc.

  • Lead practice-centered date for corporate data quality initiatives

  • Support compliance with operational guidelines set forth by Allied MSO

  • Complete operational requirements by scheduling patients and rescheduling procedures

  • Enhancing rescheduling of cancelled appointments and leading the effort to minimize these

  • Research and collect data for review with the Administrator in support of practice initiatives

  • Develop and maintain a thorough working knowledge of the Athena EMR and other programs and platforms to analyze and evaluate operational and programmatic efficiencies

  • Overall knowledge of medical procedures, billing procedures, insurance, etc.

  • Knowledge of HIPAA and OSHA Laws and safeguards, or the ability to be trained in HIPAA and OSHA, and be able to always follow these guidelines

  • Demonstrates strong time management, organizational and customer service skills

  • Performs duties accurately and in a timely and efficient manner

  • Exhibits excellent interpersonal skills with strong ability to exercise discretion, diplomacy and tact in patient and staff interaction; remain patient, courteous, and professional in all stressful situations

  • Strong ability to communicate effectively with physicians, staff, and the Practice Administrator both verbally and in writing


MINIMUM QUALIFICATIONS:

  • Bachelor's Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. Directly relevant experience can be a substitute for the degree requirement.

  • The successful candidate must also possess excellent interpersonal, verbal, and written communication and organizational skills.

  • Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred).

  • Ability to multi-task and/or coordinate multiple assignments is required.

  • Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.

  • Qualified candidates must be able to effectively communicate with all levels of the organization.


WORK ENVIRONMENT:

  • This job operates in a professional medical office environment routinely using standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • Dress attire required: determined by care center

  • Days/Hours: schedule is determined by the needs of the care center
