The Accounts Receivable Staff performs data entry and related operations in posting accounts receivable payments and outgoing wires. Resolves credit balances and account problems, refunds, adjustments, and other account actions. Performs support in all areas of Accounts Receivable as assigned by AR Assistant Manager or AR Assistant Supervisor. Follows department procedures and guidelines established by the department and firm.
Essential duties and responsibilities:
Logging on to bank and check for incoming ACH, Wires, Lockbox daily.
Downloading Images from Bank, and processing to be uploaded for Image Connect.
Processing ACH on Aderant.
Processing Lockbox Batches on Aderant. (back-up)
Processing Wire deposits on Aderant. (back-up)
Processing Local deposits on Aderant. (back-up)
Process write-off requests. (back-up)
Receiving, Reading & Responding to e-mails, includes sorting out payment remittance, and making notes of special items, requests.
When no payment data is provided communicate with client via vendor processing websites, calling, e-mailing billing attorneys, research, etc.
Preparing check request refunds for duplicate and over payments – manual requests and Chrome River.
Every other month process PosPay 3 times daily and notify A/P of any issues, work with A/P and Bob Wray/Ruth Bryden to rectify issues.
Monthly A/R meetings to discuss department issues.
Other duties and responsibilities:
Follow-up and clear deposits placed in UNID and Client Clearing accounts weekly.
Performs miscellaneous job-related duties as assigned.
Special projects as assigned from management.
Account research and spreadsheet preparation upon billing attorney, and client requests.
Assist Michelle Keil with annual 1099’s state travel fees and costs.
Year-End Duties:
Beginning December report morning and afternoon lockbox amounts, in-house deposits, wires and electronic payments, trust transfer payments over $50K to upper management by e-mail when assigned. (back-up)
All deposits must be completed by the end of the last working day of the year.
Overtime is required by management with approval to complete deposits within firm procedures. December overtime is heavier due to year-end processing.
Qualifications:
Read, and write at a level normally acquired through completion of high school or equivalent. average knowledge of accounting principles. Some college business related courses and is desirable.
Approximately two to three years on the job experience in a business or accounting environment. Ability to perform daily operational duties with minimal supervision. Ability to communicate effectively both orally and written; internally and externally.
Ability to use independent judgment, manage and impart confidential information.
Strong self-starter.
Ability to gather data, compiles information, and prepares reports.
Must have intermediate excel & word skill level, accuracy, dependability, and detail oriented.
Above average aptitude in organizational skills, problem solving and research.
Ability to respond to requests requiring analysis of client billing histories and other basic financial analyses. Manage time and meet prescribed deadlines.

Interpersonal skills necessary to communicate effectively in person, by e-mail, and telephone, and to follow instructions effectively from a diverse group of attorneys, clients, staff, and other outside professionals, and to provide information in a friendly and professional demeanor. Communication within the AR group is essential for success.
Physical demands:
Must be able to sit for 1 hour without a break.
Requires heavy data entry skills.
Working conditions and environment:
Work remotely. Travel to office and work occasionally is allowed, notify management.
Overtime is required as work occasionally requires more than 37.50 hours per week to perform the essential duties of the position. Additional overtime is required during December for year-end processing.
