Job Title: Part-Time Financial Record Keeper

Job type • Part-Time: 16-24 hours/week

Pay • $20,000-$25,000 a year.

Job Summary: The North Kingstown Chamber of Commerce is seeking a highly organized and detail-oriented Financial Record Keeper to manage financial record-keeping, reporting; and assist leadership with budgeting, and forecasting processes. The ideal candidate will play a key role in maintaining financial accuracy, ensuring compliance with accounting standards, and providing insights to guide the company's financial decisions. Key Responsibilities:

1. Financial Record Keeping: • Maintain accurate and up-to-date financial records, ensuring compliance with accounting principles and company policies and grant funding expenditures. • Process and code invoices, receipts, and payments to ensure timely and correct financial transactions and grant reporting. • Manage general ledger entries, ensuring all financial data is recorded correctly and accurately. • Maintain supporting spreadsheets for grants and other accounts as needed. • Coordinate with internal departments to ensure all transactions are properly documented and allocated.

2. Financial Reporting: • Prepare monthly, quarterly, and annual financial statements (Balance Sheet, Income Statement, and Cash Flow). • Ensure timely preparation and submission of financial reports to senior management. • Perform variance analysis between actual results and budgeted/forecasted numbers, highlighting key issues and opportunities. • Prepare internal and external reports for regulatory compliance and stakeholders. • Support audits by providing necessary documentation and explanations.

3. Budgeting: • Assist with the budgeting process by collaborating with department heads to gather necessary financial data. • Assist in developing annual budgets, including revenue, expenses, capital expenditures, and staffing. • Monitor budget performance throughout the year, providing guidance and making adjustments as necessary. • Identify areas for cost-saving and efficiency improvements within the budget.

4. Forecasting: • Assist with financial forecasts based on historical data, market trends, and strategic plans. • Update forecasts regularly to reflect any changes in business conditions, sales projections, or economic factors. • Provide insights on financial performance and potential risks to management. • Use forecasting tools and techniques to predict future revenues, expenses, and cash flows.

Skills and Qualifications: • Associate's degree in finance, or related field required. (Bachelor's, Master's or CPA preferred). • Proven experience (3+ years) in financial management, analysis, and reporting. • Strong knowledge of accounting principles, financial reporting standards, and budgeting processes. • Proficient in financial software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel • (advanced skills). • Analytical mindset with the ability to interpret financial data and make actionable recommendations. • Excellent communication and organizational skills. • Ability to work under pressure and meet tight deadlines. Additional Preferred Skills: • Knowledge of industry-specific financial practices and regulations. • Strong attention to detail and ability to handle multiple priorities simultaneously.

Working Conditions: • Part-Time, in-office position - 20 hours per week. Flexible schedule.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

Work is frequently conducted in an office environment. While performing duties of job, the employee is required to remain in a stationary position frequently. The person in this position needs to occasionally move about inside the office and out in public to access file cabinets, office machinery etc. The person in this position constantly operates a computer and other office productivity machinery such as a calculator, copy machine, and computer printer. Occasionally, ascends/descends areas of the office to welcome visitors and to work with office equipment. The person in this position frequently communicates with prospective members, other staff, and visitors who have inquiries. The employee must be able to exchange accurate information in these situations. Must be able to move, and transport materials for programs.
