Summary of Job Duties and Responsibilities:

Assist the Director of Education Abroad and the Education Abroad Advisors to manage the Education Abroad Office, including work with campus offices and external providers for budget and finance maintenance, support for student, faculty, and staff participation and adherence to campus-wide education abroad policies and procedures.




  • Serve as the face of the office, disbursing students to the appropriate place for future inquiry and/or answering questions as the front-office staff.

  • Manage basic office functions, including answering the phone, maintaining files, setting meetings, managing mailings, and ordering supplies.

  • Manage student staff, delegate workload, and set schedules for student staff.

  • Process all requirements for outgoing study abroad students, including maintenance of updated study abroad records, tracking items, and notification of past due items and account holds.

  • Manage Marketplace student application fees and payment coordination.

  • Coordinate with Bursar's Office for student and faculty/staff program fees and billing, including Promissory Note processing.

  • Coordinate with Student Financial Services for scholarship allotments, awards, and student billing.

  • Communicate with faculty and staff for orientation and processing requirements for faculty-led and teach abroad programs.

  • Work closely with the Director of Education Abroad and faculty to determine program budgets and student fees and maintain budgets and program logistics.

  • Work closely with the Director of Education Abroad to maintain all study abroad program accounts, including funds transfer and payments abroad to providers and vendors.

  • Coordinate with CCSA, KIIS, and other affiliate providers for student billing and scholarships.

  • Coordinate program details and make purchases for faculty-led programs: cell phones, housing, insurance, etc.

  • Bid, reserve, and purchase airfare in a timely manner for all faculty-led programs.

  • Compile emergency information for dissemination to necessary parties.

  • Maintain education abroad management system, including communication with the management system as needed and keeping track of reported issues and necessary changes.

  • Maintain statistics of students who have participated in education abroad, including compilation of records for specific data inquiries and reporting to appropriate offices on campus.

  • Create cost estimates and communicate student financial needs to the Student Financial Services

  • Organize event and travel logistics including travel reservations, food orders and space reservations, contracts, and payment coordination.

  • Coordinate website upgrades and management of site.

  • Other duties as assigned by the Director.


Minimum Education Requirements:



  • Bachelor's degree or higher in any major.


Minimum Experience and Skill Requirements:



  • Requires demonstrated effective organizational and logistical skills, communication skills, ability to work on several projects simultaneously and prioritize tasks, ability to exercise sound independent judgment and work successfully with students and colleagues in a team.

  • Requires excellent computer skills (Word, Excel, and Access).

  • Required demonstrated skills in program budgeting.

  • Required work experience in a U.S. university setting.

  • Must be willing to travel for conferences and training as necessary both domestic and international.

  • Must possess a U.S. driver's license.


Preferred Education and/or Experience Qualifications:



  • Preferred experience as an education abroad participant or personal/professional international travel.

  • Preferred proficiency in SunGard Banner System and Via TRM International Educations Solutions system.

  • Preferred demonstrated skills in accounting.
