Job Description:


Job Title: Executive Aide of Culinary Arts



Campus Location: WSCC-Sevier County Campus (Employees are assigned to a "home" location but may occasionally or regularly be required to work at other WSCC locations.)



Job Purpose: The purpose of this position is to perform administrative and secretarial duties for the Department Head of Culinary Arts and Culinary Arts instructors. This includes cashiering, event planning, catering support, and student support.



Essential Job Functions:



  • Provides administrative services, greets visitors, disseminates information, and provides timely, courteous, and knowledgeable responses to information requests. Maintains office filing system, schedules student appointments with culinary arts faculty, and prints/bound instructional materials for culinary arts faculty. Surplus equipment when no longer needed. Process facilities forms, travel forms, leave forms, and student activity forms. Route mail and phone calls. Reserve event facilities and draft correspondence.

  • Provide cashier services for the Culinary Bistro, Bakery, and Special Events. Receipt funds, prepare and verify deposits. Create and Maintain financial statements for special events. Keep Point of Sale (POS) System up to date. Distributes all menus for the Bistro and special events.

  • Assist with event planning for the culinary arts department by meeting with clients, arranging room, equipment, and menu needs, coordinating event set-up and tear-down, processing event orders, and communicating last-minute changes. Responsible for taking reservations for special events.

  • Create requisitions for purchase orders for the culinary arts department. Processes invoices and receipts for payment. Monitor food expenditures and budget balances and maintain/order food and office supplies and materials as needed. Orders uniforms for faculty and staff. Responsible for obtaining quotes for maintenance or repair. Orders books, uniforms, and supplies for scholarships. Puts in work orders. Attends regular internal training.

  • Assists with event planning, scheduling events and/or room set-ups and tear-downs, equipment and menu needs, Bistro set-up and décor, processing event orders, and communicating changes.

  • Assist with student orientations and maintain files for all culinary students; coordinate high school visits to the culinary department. Updates and posts scholarships and ranks.

  • Prepare and maintain reports and records for accreditation through the American Culinary Federation; plan advisory board meetings, arrange for departmental meetings, and keep minutes of all meetings.

  • May perform other duties as assigned.



Required Qualifications:



  • High school or equivalent


  • Four to seven years of career experience in a related position


  • Knowledge of event planning, catering support


  • Excellent organizational, written communication, and multi-tasking skills


  • Knowledge of college policies and procedures


  • Proficiency in Microsoft Office Adobe Pro


  • Ability to use mobile devices, printers, scanners, and fax machines




Preferred Qualifications:



  • Experience in culinary arts

Leadership & Supervisory: This position may oversee students or temporary workers. Most tasks are completed without consulting others. Resources, guidelines, and supervisor consultation are available when needed. Work is evaluated largely for progress toward completing objectives. Work may affect a single department or program.



Environment & Working Conditions: The work environment may involve various locations. Temperature is usually controlled with occasional fluctuations and is well-lit. Occasional loud noises and interruptions.



Physical Demands (including requirements for travel or working nights/weekends/holidays):



  • Large amounts of time spent looking at computer monitors could lead to some eye strain, stress, or headache issues.

  • While working in the kitchen, contact with chemicals, sharp objects, and commercial kitchen equipment such as ovens, mixers, grills, and deep fryers is possible.
