This is an opportunity for an Executive Office Assistant to join a premier commercial construction company based in New York City. The Administrative Assistant will provide support to senior management performing diverse administrative and project management functions. The Executive Office Assistant will independently complete assigned non-routine tasks to meet specific goals, serving as the primary liaison between the executives, the internal organization, clients, consultants, and sub-contractors.

Our client is the premier residential conversion specialists in New York, converting nearly 40 commercial properties covering over 10 million square feet into more than 10,000 residential units. In addition to conversions, the firm also handles new construction services.
Responsibilities
Interface with entrepreneurial and institutional clients, design consultants, sub-contractors, legal, IT, tax and insurance professionals
Draft, prepare, proofread, and file correspondence, memos, and other documents
Compile, process, and analyze data based on research objectives and prepare reports
Manage and maintain executive calendars
Organize, schedule, and coordinate internal and external meetings and conference calls
Follow up on action items and report status to attendees
Maintain and update directories, contact and distribution lists
Coordinate work with third-party suppliers to address support needs on behalf of the company
Special projects as needed, including marketing and website updates, event planning, etc
Personal tasks as needed

Strong planning, presentation and organizational skills
Handle confidential matters with discretion

Experience
Minimum 5+ years in construction, real estate, Architectural or Engineering related field
Minimum 5+ years supporting high-level executives
Advanced knowledge of Outlook, Word, and Excel. Knowledge of QuickBooks and scheduling software a plus
Compensation
$70,000 - $80,000 plus bonus
