Job Description:

We're looking for a driven, ambitious, Executive Assistant to join our team. The COO over Commercial Operations is needing someone to help manage the weight of office and clerical responsibilities. The ideal candidate will have office management experience, some project management experience, strong communication skills and executive assistant experience. This role will include scheduling, managing communications to and from the COO, and helping carve out necessary time for pertinent tasks. The Executive Assistant will be primarily responsible for tasks supporting the COO over the commercial side of the business. Tasks can include but may not be limited to:
  • Act as a point of contact among executives, employees, customers, and other external partners on behalf of COO.
  • Streamlining internal and external communication flows to COO.
  • Gather information required to complete and apply for grants, permitting or other projects.
  • Manage correspondence and communications, both internal and external, with professionalism and attention to detail.
  • Managing COO's email and correspondents.
  • Assisting in calendaring including organizing schedules, appointments and meetings for COO.
  • Receiving inbound calls, taking messages, and answering questions.
  • Making outbound calls to customers, team members and vendors.
  • Creating and managing spreadsheets with proficiency, ensuring data accuracy and organization.
  • Additional office tasks as needed.

Skills/ Qualifications:
  • Proficiency in Excel, with advanced knowledge of formulas, functions, and data manipulation.
  • Exceptional attention to detail.
  • Strong organizational and time-management skills.
  • Ability to follow directions and execute tasks independently.
  • Excellent communication skills, both written and verbal.
  • Proactive, problem-solving skills.
  • Ability to maintain a positive, can-do attitude in a fast-paced work environment.

Requirements:
  • Associate degree in a business-related field preferred or equivalent work experience.
  • Minimum of 2 years' experience in an administrative setting.
  • Ability to exercise discretion and confidentiality.
  • Drive for success and self-motivated to meet deadlines.
  • Exceptional organizational and time-management skills.
  • Proficiency in MS Office with expertise in Outlook, Word, Excel, and PowerPoint.
  • Detail-oriented and comfortable working in a fast-paced office environment.
