Administrative Assistant

An Administrative Assistant is responsible for handling many of the administrative tasks that allow an office to function efficiently. This typically includes answering phones, directing calls, greeting visitors, and preparing rooms for meetings and training, filing, and executive support. To be successful, they need to have excellent communication and organizational skills. At the front desk, this person serves as the first point of contact for both employees and guests, therefore, requires a positive attitude and professional appearance. We are looking for someone who enjoys multi-tasking, helping others, and can handle a fast-paced environment as well as keep busy during any slow times. This position requires a self-starter who enjoys learning and interacting with many different types of people.

Job Duties will include but not limited to the following:
  • Coordinating and scheduling meetings with city personnel, district and land surveyors.
  • Ensures all projects are completed according to plan schedules, company policy and production standards.
  • Coordinates findings with Project Manager, engineering and architectural personnel, clients, and others concerned with project.
  • Review and coordinate meeting with land surveyor.
  • Coordinating water sample collection with county official
  • Obtain permits when required.
  • General knowledge on property codes disclosures, property tax, and water tax
  • Providing Administrative Support
  • Ordering lunch and supplies for the office
  • Making travel arrangements for senior staff, such as flights, cars, hotel or restaurant reservations
  • Excellent communication via phone, email, and in person
  • Making coffee runs and arranging meeting rooms
  • Ensure operation of equipment by scheduling regular maintenance
  • Contributing to team efforts by accomplishing related results
  • Greet visitors and direct them to the correct staff member
  • Receive, sort, and distribute incoming mail
  • Maintain office filing and storage systems
  • Fax, scan, and copy documents
  • Keep office area clean and tidy, including monitoring beverage station
  • Helping the rest of the staff with various responsibilities

Skills and Qualifications:
  • Running and analyzing reports
  • Excellent verbal and written communication skills
  • Experienced with MS Office Suite products (Excel, Word, Outlook, and PowerPoint Exposure to MS Project a plus
  • Solid organizational skills including attention to detail and multi-tasking skills
  • Problem solving skills
  • Inventory control
  • Supply management
  • Must be detail oriented with time management and organizational skills
  • Minimum of 3 years administrative/receptionist experience
  • Confidentiality in performance of all duties
  • Customer Focus and Outgoing Professionalism
  • Ability to anticipate the needs of others to enhance efficiency and accuracy.
  • Prepare UPS/Fed Ex shipments and track as needed
