We are seeking a highly organized and proactive Executive Administrative Assistant to provide high-level administrative support to the managing partners. The ideal candidate will have the ability to exercise good judgement in diverse situations, have strong written and verbal communication skills as well as administrative and organizational skills. This is a fast paced, highly interactive role where you will partner closely with the leadership team.
Key Responsibilities:
Provide high-level administrative support to managing partners (3), managing appointments, ensuring effective time management and prioritization of tasks.
Assist with the preparation and editing of correspondence, reports, and presentations.
Assist in developing and managing the office budget, tracking expenses, and identifying cost-saving opportunities.
Arrange logistics for meetings, including room bookings, technology setup, and catering.
Coordinate and organize internal and external meetings, conferences, and events, including logistics, agendas, and materials.
Take detailed and accurate meeting minutes, ensuring all important points and action items are recorded.
Arrange travel itineraries, including flights, accommodations, and ground transportation.
Support the planning and execution of special events: board meetings, corporate retreats, presentations.
Regularly attend company events as well as any sponsored events.
Assist with special projects, research, and data analysis as needed.
Qualifications
High school diploma required, Bachelor's degree in Business Administration or related field preferred.
Minimum of 5 years of experience as an Executive Assistant supporting high-level executives.
Experience managing C-Suite level calendar.
Advance proficiency in Microsoft 360 (Outlook, Word, Excel etc.)
Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
Exceptional attention to detail and accuracy, ensuring all work is of the highest quality.
Discretion and professionalism in handling confidential information and sensitive matters.
Flexibility to adapt to changing priorities and work under pressure in a fast-paced environment.
