Job Description: The Office Manager will be responsible for overseeing the daily administrative functions of the office, including billing/timekeeping, payroll, business compliance, and general office management. This role is integral to maintaining our operational efficiency and ensuring a productive work environment.

Key Responsibilities:
  • Billing/Timekeeping:
  • Manage and process client billing and invoicing.
  • Track and record employee time and project hours.
  • Ensure accurate and timely entry of timekeeping data.
  • Prepare and distribute client statements and follow up on outstanding invoices.
  • Payroll:
  • Process monthly payroll for all employees.
  • Ensure compliance with federal, state, and local payroll regulations.
  • Maintain and update payroll records.
  • Handle payroll-related inquiries from employees.
  • Business Compliance:
  • Ensure compliance with all business regulations and requirements.
  • Maintain up-to-date knowledge of industry standards and government regulations.
  • Assist with the preparation and filing of regulatory reports.
  • Coordinate with external auditors and regulatory agencies as needed.
  • General Office Management:
  • Oversee daily office operations and ensure a clean and organized workspace.
  • Support the executive team with administrative tasks as needed.

Required Competencies:
  • Organizational Skills: Strong ability to multitask, prioritize, and manage time effectively.
  • Attention to Detail: High level of accuracy and attention to detail in all aspects of work.
  • Communication Skills: Excellent verbal and written communication skills.
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and payroll software.
  • Interpersonal Skills: Ability to work collaboratively with team members and interact professionally with clients.
  • Adaptability: Flexibility to adapt to changing priorities and work in a fast-paced environment.
  • Confidentiality: Maintain the highest level of confidentiality regarding sensitive information.

Qualifications:
  • Associate's or Bachelor's degree in Business Administration, Accounting, or a related field preferred.
  • Minimum of 3 years of experience in office management, preferably within an engineering or technical environment.
  • Experience with billing, payroll, and compliance procedures.
  • Familiarity with accounting software and timekeeping systems.
