JOB DESCRIPTION



Under general supervision, performs a variety of specialized tasks to provide administrative support for a regional project management office team and GLBR R&D Program. Interact with PMO management in addition to other groups both internal and external to the company. Anticipate needs and take appropriate action to effectively manage daily responsibilities independently.



RESPONSIBILITIES



Essential Job Duties:



  • Monthly KPI data collection and reporting for project management.

  • Process requests for purchase orders, amendments, and follow-thru to completion.

  • Assist with invoice processing for payment to vendor.

  • Track project commitments for accurate spend forecasting.

  • Assist program management team with administrative duties and process improvement.

  • Maintain electronic program filing and tracking systems.

  • Schedule and organize meetings, conference calls and appointments. Prepare items in relation to meetings, including but not limited to, creation and assembly of documents for distribution, coordination of site reservation, food orders, attendance confirmations, and interacting with attendees to address questions or issues on event.

  • Facilitate meetings, including agenda and content development.

  • Purchase office equipment and supplies as required.

  • Perform administrative functions and prepare communication as required.

  • May perform other duties as assigned.




Skills, Education and Experience:



  • High School diploma or General Education Degree (GED) required, & 5 years work related experience. Associate's degree or Bachelor's degree in Business Administration is preferred.

  • Minimum 5 years related work experience to include Project Construction or Accounting related fields is a plus

  • Advanced Microsoft Office Suite, PowerPoint, Excel skills

  • Strong knowledge of Microsoft Teams and SharePoint

  • Demonstrates administrative support skills including ability to compose/proof and edit correspondence and reports

  • Organization, communication (written, oral, telephone), customer service and strong attention to detail are essential in this position

  • Problem solving, decision-making, and analytical skills required.




Salary: $22/hr. - $30/hr.

The hourly rate is between $22.00 and $30.00per hour, and the anticipated annual base compensation range for this position will be $45,760 and $62,400 inclusive of required overtime.
