Summit Emotional Health is an invigorating and team-focused mental health organization committed to serving the emotional health needs of the Richmond area. In addition to a vital Administrative Team, we are composed of a multi-disciplinary team of clinicians offering a variety of services, including psychotherapy, psychiatry, testing and assessment, educational and mindfulness consultation.
We are seeking a self-motivated, organized, and friendly professional to serve as the first point of contact with our clientele at the Front Desk and provide crucial administrative and operational responsibilities to support our clinicians and administrative team.
Responsibilities include but are not limited to:
Daily opening of the office and set-up for the day ensuring appearance, cleanliness, and safety. Greeting clients and managing all associated paperwork, payment, billing, and requested invoicing related to their appointments.
Assisting clinicians and Clinical Coordinators with scheduling new and current clients in the areas of talk therapy, psychiatry, assessment, and educational and mindfulness consultation.
Set up and maintain new clients in the Electronic Medical System and manage new client paperwork.
Manage and send Good Faith Estimates to applicable clients on a weekly basis.
Respond to client calls and emails in a timely, professional, and empathetic manner.
Manage office supplies and reorder as necessary.
Oversee delivery of mail, faxes, and other important documents to appropriate clinician. Scan and upload client documents to the Electronic Medical Record System.
Attendance of bi-monthly Administrative Team meetings and full Team meetings. Keep meeting minutes and distribute them to the team.
Troubleshooting office IT issues and concerns with established IT programs and resources.
Any and all tasks deemed necessary by the Clinical Director and/or Office
Skills Needed:
Proficiency with the Google Suite (Docs, Drive, Sheets, etc.) and Excel, the Electronic Medical Records (EMR) system, with the potential for other duties related to MailChimp and website updates.
Understanding of HIPAA and privacy/confidentiality forms of communication (yearly training provided).
Exceptional written and verbal (especially for incoming and outgoing calls) communication skills.
Unwavering professionalism, HIPAA compliance, and ethical standards when related to client privacy and confidentiality.
Active listening, critical thinking, effective decision-making, excellent organization, and time management.
The ability to work autonomously and take self-initiative while being a team player.
Reliable and punctual adherence to required hours at the office.
Proven self-motivation in office administration and/or customer service experience demonstrating consistent, professional, and caring interaction with clients.
Accounting experience including accounts receivable/payable and invoicing.
General Details:
40 hours per week, Monday-Friday, 8:30AM-5:00PM
Salary Range: $20-22 per hour, commiserate on experience
