ROLE SUMMARY
The ideal candidate is a highly analytical leader who will join our senior management team. You will be responsible for leading the company's day-to-day business operations (managing the facility budget, ensuring operational compliance is followed, and addressing administrative issues). The Director of Operations will oversee the planning, procurement, shipping, returns, and production of in-house production and bulk input formulation. Ensure the Operations team meets or exceeds 98% complete order delivery within 24 hours of order. Create and manage agreements with the largest and most strategic suppliers. Minimize operational costs and demonstrate ownership of on-time and accurate product delivery through efficient production practices with a continuous improvement outlook.
RESPONSIBILITIES
Oversee efficient operations in production and fulfillment departments, setting KPIs and growth metrics
Conduct weekly team meetings to discuss upcoming projects, company priorities, & progress in all departments
Measure the effectiveness of all processes (budget, operations, and management, etc.)
Determine company's strategic growth as part of the executive team
Coordinate cross-functional initiatives and projects
Strategic planning on process enhancements and facilities optimization
Contribute to business growth initiatives and expansion plans
Manage facility budgets and expenses effectively
OPERATIONS
Ownership of overall facility efficiency and operational flow of raw materials, production, and fulfillment
Operational SOPs and optimal utilization of MRP (Cin7 Core)
Maintain and manage all aspects of the facility, including HVAC systems and high-voltage equipment
Oversee Inventory manager's monthly physical inventory audits, reconcile actual inventory counts with WMS
Create and institutionalize SOPs for all processes, including the production of current or new products
Work with VP of Ops and your team to implement continuous process improvement, 6S tools
Project Management: Task assignments + follow-ups with department heads & ensure deadlines are met
PRODUCTION
Work with the Sales team and Lab Director to forecast anticipated demand and adjust PAR levels
Create plans for product phase-outs / coordinate with the team to carry out the phase-out underperforming SKUs
Work with the Production Coordinator to set up launch plans for new products, communicate to the team
Implement additional QC checks and measure performance at key steps in the production process
Ensure that Production Coordinator accurately schedules and oversees production, ensuring all KPIs are met or exceeded
Support cost analysis of new products, and accurately provide COGS data to management and COO
HUMAN RESOURCES
Conduct reviews, performance follow-ups, and 1:1s to facilitate continuous growth plans as well as PIPs
Hiring- oversee candidate review, setting up and conducting interviews, helping with onboarding of new employees
Performance monitoring - regularly review and provide feedback on the team's performance
COMPLIANCE
Work with the Operations team and internal resources to optimize practices and increase adherence to cGMP practices
Verify compliance and accuracy of formulation inputs sent to and received from copackers or in-house production
Policy and Procedure Development, including document control and quality control systems
Conduct regular inspections to ensure compliance with safety regulations
Minimum Qualifications:
Experience in product management, 5 -10 years of relevant experience
Team management experience, payroll processing, and optimized employee scheduling
Willingness to upskill and learn new systems, Cin7 Core MRP and Asana task management
Understanding or willingness to learn ODA and USDA Hemp compliance expectations
Be a self-starter, able to stay productive without oversight & analyze processes
Must be over 21 years old and able to commute daily to downtown SE Portland
