As they continue to surge forward, they seek a dynamic and meticulous Executive Assistant/Office Manager to join their ranks and champion the smooth operation of the executive team. This pivotal role will immerse you in a spectrum of office management and administrative responsibilities, positioning you as the vital link between internal team and external partners. You'll play a crucial role in fostering seamless communication and cultivating an energized, productive workplace atmosphere.

Responsibilities
  • Welcome and register visitors, acting as the main contact for building management.
  • Prepare monthly expense reports for company executives using Concur software.
  • Help draft Lease Proposals and Offer Letters.
  • Organize company events, including board meetings, investor presentations, annual off-site events, and company parties, handling catering and AV needs.
  • Assist the Marketing Coordinator with various marketing initiatives.
  • Provide executive administrative support, including organizing meetings, travel arrangements, and managing calendars.
  • Address basic IT issues and coordinate with vendors for additional support.
  • Oversee company conference sponsorships.
  • Support the CAO in onboarding new employees.
  • Handle financial reporting tasks.
  • Work with the Marketing Coordinator to develop an employee website portal.
  • Manage travel arrangements as required.
  • Supervise daily mail processing and office supply inventory.
  • Ensure all project documents receive the necessary authorized signatures.

Ideal Experience
  • Minimum 2-3 years of experience as an Executive Assistant or similar role.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with expense management software (e.g., Concur) a plus.
  • Ability to work independently and take initiative.
  • Discreet and professional demeanor.
  • Positive and proactive attitude.
