Core Responsibilities • Assist with managing daily operations of the clinic's treatments and schedule. Maintain the patient flow of the office, anticipate issues, propose and implement solutions. • Assist with scheduling patients' appointments. Must be able to review the full clinical schedule of MD, nurses and other clinical staff and be able to schedule patients in a manner that utilizes given rooms and equipment appropriately. • Assist with patients' checkout process including collecting patients' payments and scheduling future appointments. • Assist in answering incoming phone calls and greeting patients. Must be able to manage multiple, simultaneous calls in a professional and pleasant demeanor. • Follow up on voicemail messages left with the answering service in a timely manner. • Assist providers with patient follow ups, quotes, and scheduling. • Manage patient rewards programs including TFI Advantage, Brilliant Distinctions, and Aspire. • Assist with inventory of new patient paperwork, consent forms, pre/post op forms and documentation. • Assist with developing and updating marketing strategies for attracting new patients. • Assist with project coordination and management per Practice/Office Manager • Administrative resource for all staff on a daily basis.
Qualifications & Preferences • Bachelor's degree preferred. • Minimum 2 years of experience in a healthcare setting or customer service role preferred. • Ability to prioritize, multi-task, and re-prioritize using time management skills to expeditiously complete assignments and duties. • Excellent communication skills, both written and verbal, with a professional demeanor. • Strong organizational skills and the ability to multitask effectively in a fast-paced environment. • Strong attention to detail and accuracy in all tasks. • Ability to work independently with minimal supervision while also functioning as part of a team.
