Responsibilities

As a Construction Administrator you will oversee and manage the administrative aspects of civil engineering projects, ensuring they are completed on time, within budget, and to the highest standards. This role requires a detail-oriented professional with strong organizational and communication skills, as well as a solid understanding of construction processes and documentation.

Responsibilities:
  • Coordinate and manage all administrative tasks related to construction projects, including documentation, retention, and compliance with a strong pro-active approach and commitment to follow through.
  • Serve as the primary point of contact between project managers, contractors, clients, and other key personnel, as needed.
  • Prepare, review, and distribute project documentation such as contracts, pay estimates, change orders, and progress reports.
  • Ensure relevant regulations are documents and followed by all.
  • Confirm all project documentation is accurate, up-to-date, and properly filed.
  • Monitor project schedules and budgets, identifying potential issues and assisting in the development of solutions.
  • Facilitate communication and collaboration among project team members, ensuring all parties are informed of project status and updates.
  • Assist in the procurement of materials and equipment, ensuring timely delivery and compliance with project specifications.
  • Coordinate all parties involved for regular site visits to monitor progress, verify compliance with plans and specifications, and address any issues that arise.
  • Support the project team in creating Invitations to Bid, coordinate Pre-Bid meetings, prepare meeting documents.
  • Assist in the preparation of project closeout documents, including final reports and warranties.
  • Track/Maintain progress of all steps in construction process.
  • Create monthly meeting report for District Engineers to convey necessity of project in all relevant documents to present at board meetings.
  • Assist in other construction related projects upon request.

Qualifications
  • Minimum of 2 years of experience in construction administration or a related role within the civil engineering field, OR minimum of 5 years' experience assisting with projects.
  • Strong understanding of construction processes, documentation, and industry standards.
  • Excellent organizational and time management skills, with the ability to handle multiple tasks and projects simultaneously.
  • Proficient in project management software and tools, such as Microsoft Excel, Procore, CivCast, Bluebeam or similar platforms.
  • Exceptional communication and interpersonal skills, with the ability to effectively collaborate with diverse teams.
  • Detail-oriented with strong problem-solving abilities.
  • Knowledge of local, state, and federal construction regulations and codes as it pertains to contracts.
  • Bachelor's degree in Civil Engineering, Construction Management, or a related field, preferred.
