We are hiring a full-time Executive Assistant to the CEO. This dynamic role demands a high-performing go-getter with a "get it done" attitude and requires an administrative professional with a strong background in executive support. The ideal candidate will anticipate needs, think critically, and offer solutions to problems with a high level of discretion, professionalism, and confidentiality. This position offers a hybrid work arrangement, including working up to two days per week at our Brighton, IL headquarters.
What you will do:
• Use analytical skills to assist in spending forecasts, expense tracking, and budget analysis by working closely with the CEO and finance team, identifying cost-saving opportunities, and ensuring financial goals are met.
• Coordinate communication between the CEO and board members, external stakeholders, and internal leaders, ensuring timely responses and follow-ups.
• Prepare regular reports for the CEO on project status, key milestones, and performance metrics.
• Create strategy document drafts, documenting amendments and changes to the strategy.
• Liaise with internal and external executives on various projects and tasks.
• Understand the CEO's goals and priorities to align tasks accordingly.
• Prepare materials for board meetings, including agendas, presentations, and reports.
• Manage the CEO's calendar, schedule appointments, and coordinate meetings.
• Prepare reports, presentations, and other documents as needed.
• Coordinate board and external guests travel, accommodations, and meals.
• Coordinate all staff meetings and communications as well as all executive meetings on and off-site.
• Coordinate any off-site board and external stakeholder functions as directed.
• Handle correspondence, emails, and phone calls on behalf of the CEO.
• Organize and maintain files, records, and documents.
• Prioritize trust, integrity, and ethical conduct.
• Uphold the integrity and reputation of the CEO and the organization.
Requirements:
• Bachelor's degree or administrative professional certification is required.
• Minimum 5+ years' experience in an administrative role directly reporting to a senior executive or team.
• Experience overseeing budgets and expenses, preferred.
• Experience developing internal processes and filing systems, preferred.
• Experience working with a Board of Directors is required.
• Excellent computer skills/usage, including Microsoft Office Suite (Word, PowerPoint, and Excel).
• Familiarity with agriculture is a plus.
• Some travel may be expected for meetings, conferences, board and executive activities.
