Intake & Assessment Specialist


Arkansas State University-Newport

The Intake and Assessment Specialist is responsible for facilitating new and returning Adult Education program enrollment and assessments, including performing general office duties. This position is governed by state and federal laws and agency policy. Under the Adult Education Director's direct supervision, the paraprofessional assists adult learners in the Adult Education program. The paraprofessional provides administrative support to the Adult Education program.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assisting adult learners using assessment delivery resources, including individual and group testing;
  • Assisting the Director with recruitment activities and student activities;
  • Conducting orientation and assessment of new students;
  • Attending training activities required by the Department of Workforce Services, Division of Adult Education; and the local education agency (ASU-N)
  • Assisting in the management of the National Reporting System record-keeping system
  • Other duties as assigned
  • MINIMUM QUALIFICATIONS

  • Ability to demonstrate excellent written and verbal communication and math skills.
  • Ability to utilize basic computer software to assist students
  • Ability to work well in a fast-paced environment and help maintain a positive classroom climate
  • Ability to meet deadlines for required reports
  • Ability to communicate effectively with people from diverse backgrounds and to work effectively with fellow employees and with other agencies in the service delivery area.
  • Knowledge of record keeping procedures
  • Knowledge of work-related subject area






  • EDUCATION AND EXPERIENCE

    The formal education equivalent of a high school diploma; plus one year of experience in a specialized or related area applicable to work performed, OR an Associate's Degree can be substituted for one year of experience in a related area or applicable work wetting. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management. OTHER JOB-RELATED EDUCATION OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE



    RESPONSIBILITY FOR FUNDS, PROPERTY, and EQUIPMENT

    Maintain program provided furniture, fixtures, and technology as required


    SUPERVISORY RESPONSIBILITIES

    None




    COMMUNICATION SKILLS

    1. Ability to communicate both orally and in writing
    2. Meet and greet incoming students
    3. Answer and return calls
    4. Administer Intake for incoming students
    5. Schedule Testing to meet potential student's needs
    6. Distributes information to collaborating agencies
    7. Aid Instructor when needed
    8. Facilitate Intake for incoming students, proctor TABE Assessment, grade TABE Assessment
    9. Enter LACES Data as required by State Mandate
    10. Enter weekly attendance as required by State Mandate
    11. Maintain student retention by making courtesy calls as needed
    12. Maintain all student records by making folders and keeping all information available
    13. Administer GED Ready and GED Test
    14. Make sure all potential GED testers information has been sent to state for release





    MATHEMATICAL SKILLS



    ·Knowledge of the principles and practices of mathematics and statistics

    ·Ability to conduct research and compile data into report form.





    SUPERVISION RECEIVED

    The Director will provide supervision when on site.Other times, this position will be supervised by a senior paraprofessional or faculty member.




    PLANNING




    ·Ability to establish and maintain filing systems




    DECISION MAKING



    The Director of Adult Education will oversee program-related decision making to assist in decision making thought matrices.All Adult Education staff are encouraged to collaborate with their colleagues for brainstorming options for decision making.The Director will oversee all final decisions.



    ANALYTICAL ABILITY / PROBLEM SOLVING



    ·Ability to analyze documents to determine compliance with rules, regulations, and procedures




    USE OF MACHINES, EQUIPMENT AND/OR COMPUTERS).


    ·Ability to operate standard office equipment

    PHYSICAL ACTIVITIES

    The instructor is subject to inside environmental conditions, protection from weather conditions but not temperature.
