JOB DETAILS:

The University of Wisconsin-Stout's Enrollment & Strategic Initiatives (ESI) unit invites applicants to apply for a new Project Coordinator position. This position will report to the Assistant Director of Financial Aid with coordination from the Director of Advisement Center. The role will be split between two primary goals. Part of the focus will be on Foundation Scholarship Awarding and maintaining software. This will include coordinating with the Stout University Foundation, sharing data, and reconciliation of the transfer of funds throughout the academic year. The second part of this position will be responsible for our campus coordination with the Prison Education Initiative (PEI) centered at University of Wisconsin-Madison. Primary duties will include collaborating with the PEI Site Coordinator ensuring effective campus resource sharing for students in the program and sharing program information with UW-Madison.

QUALIFICATIONS

Minimum / Required
  • Excellent computer skills and proficiency with Microsoft software (i.e. Word, Excel, Outlook, etc.)
  • Ability to work well with multiple offices or entities
  • Excellent verbal and written communication skills
  • Experience working with sensitive, personal and confidential information
  • Demonstrated ability to effectively prioritize work
  • Work independently and as part of a team environment
  • Project management experience
Highly Desired/Preferred
  • Bachelor's degree or equivalent combination of education and professional experience
  • Experience presenting information in individual or large group settings
  • Experience in post-secondary student success management systems
  • Experience implementing new programs, systems and procedures
  • Excellent interpersonal skills
RESPONSIBILITIES

Summary of the responsibilities for this position :

Foundation Scholarship Awarding Management:
  • Responsible for effectively managing Foundation Scholarship Awarding using the scholarship software system (Award Spring).
  • Facilitates communication and data transfer to the University Foundation regarding recipients and their awards.
  • Coordinates with the Foundation to reconcile fund transfers.
  • Ensures that new scholarships or updates to existing scholarships are accurately recorded in the software program.
  • Communicates scholarship information and requirements to students and other interested parties in various audience forms such as one-to-one or group settings.
Prison Education Initiative (PEI) Grant Management:
  • Manages all aspects of the limited grant from the University of Wisconsin-Madison for the Prison Education initiative.
  • Coordinates with the PEI Site Coordinator to guide program students' access to UW-Stout resources (no direct student contact).
  • Tracks, reports, and shares program data and usage with the UW-Madison program office and UW-Stout as needed to support the PEI.
  • Responsibilities may evolve based on grant status.
