POSITION TITLE: Language and Cultural Program Administrative Assistant
CLASSIFICATION: Nonexempt
DEPARTMENT: Education
SUPERVISOR: Language & Culture Program Manager
GRADE: NE5

Position Summary:
The Language and Cultural Assistant will provide administrative support to the Language and Culture Program personnel with general administrative functions of the Program. The Assistant will coordinate and facilitate the logistics of all Language & Cultural Forums, Institutes and other events involving various groups of the Tamayame people. Assists with the development of instructional materials as needed.

Essential Duties & Responsibilities:
Assist the Language and Culture Program with the planning, organization, and implementation of community forums, Institutes and other forms of formal language and cultural gatherings
Assist in the development and creation of language and cultural resource materials for community and schools K-12
Assist in planning and preparing the learning environment, setting up interest centers, and preparing needed materials and supplies
Assist in the coordination of speaker selections and educational tracks with the Language and Cultural Manager and over all Santa Ana Department of Education (SADE) personnel as needed
Assist in managing staff participation in all aspects of the special events, language and cultural forums Institutes, summits and community language classes
Oversee pre-forums, institutes, summits and community language and cultural classes logistics (signs, flyers, and materials, AV needs, food and beverage arrangements
Design and tabulate forums, institutes, summits and community language class evaluations formats
Manage post community forums, institutes, summits and community language class activities and events and coordinate clean up after events and return equipment and supplies to original locations
Greet attendees at all events
Communicate last minute event details; prepare materials and handouts in advance manage attendee sign in and or registrations
Assist in all other Language and Culture Program and SADE Community Educational Initiatives as deemed necessary
Provide customer service activities by receiving all incoming calls, voicemail, email responses and copying, faxing and delivery and distribution of official program mail
Assists the Language and Cultural Program with community surveys; collect, disaggregate and analyze community data profiling tribal members and community
Help to organize all community functions and events in a neat and organized environment at all times
Perform administrative support services ie., office receptionist duties, replenishment of office supplies and other general administrative duties as needed
Attend staff meetings and recommended training programs and conferences.
Performs other duties as required.

Minimum Qualifications:
High School Diploma plus three years work experience in program setting; or equivalent combination of education and experience. Experience in Coordination of large events and must have two or more years of administrative experience. Must have high integrity and professional demeanor, prioritize information and possess skills in time management and capable of setting priorities when multiple demands are present. Candidate must have strong organization and interpersonal skills. Must be able to speak and understand the Keres language. Must be able to successfully pass a pre-employment drug/alcohol screen and background investigation including a motor vehicle check. Must possess and maintain a valid New Mexico drivers license and be insurable under the Pueblos insurance.

Knowledge, Skills, Abilities, and Certifications:
Knowledge of applicable federal, state, county and local laws, regulations, and requirements.
Knowledge, appreciation, and understanding of Santa Ana traditions, language, history, and culture.
Ability to communicate in a concise and effective manner, exercise tact, discretion and confidentiality.
Knowledge of materials development
Ability to create culturally sensitive material for community and schools
Highly skilled with Microsoft Office Outlook, Word, Excel, database software programs in a Windows environment, Power point and proficient with using office and basic AV equipment
Ability to comprehend the Keres language
Ability to accurately follow written and oral instructions.
Ability to record and store data accurately.
Ability to maintain confidentiality of student and community tribal members information

Physical Demands:
While performing the duties of this job, the employee regularly is required to stand; sit; use hands and fingers to touch, handle, or feel; and talk or hear. The employee frequently is required to walk; and reach with hands and arms. The employee will be lifting equipment needed for, meetings and overall events. The employee must occasionally lift and/or move up to 25 pounds.

Work Environment:
Work is generally performed in an office & classroom setting with moderate to loud noise levels and where employee may be exposed to unpleasant odors, hazardous material and infectious disease. There is frequent interaction with children, school staff, the public and employees.
