Job Description:

As a Special Projects Coordinator at Ferrandino & Son, Inc., you will be pivotal in managing processes, procedures, and solutions within the Special Projects division of the Facility Maintenance Department. We handle all types of commercial projects, both single-trade and multi-trade projects for the multi-site industry such as remodels, painting, fencing, etc. Your key responsibilities will involve overseeing project planning and execution while acting as the primary communication liaison between clients, service partners, and suppliers. Your role is crucial in advancing Ferrandino & Son's strategic goals and program objectives. The ideal candidate will be a collaborative team player with a strong background in vendor management and project coordination, along with excellent verbal and written communication skills.

Position Responsibilities:
  • Planning, organizing, and managing the execution of multiple projects simultaneously, varying in size and scope.
  • Review project plans to determine the scope, schedule, budget and resources.
  • Facilitate ordering and delivery of all materials required for project execution.
  • Assume accountability to ensure all projects are delivered to scope, schedule and within budget.
  • Coordinate tasks for internal and external partners and resources to ensure seamless execution of projects. This includes, but is not limited to, scheduling crews, ordering materials and equipment, receiving and validating completion documentation, organizing and distributing project updates, and invoicing.
  • Validate and manage changes to the project scope, schedule and costs using appropriate verification techniques and change order processes.
  • Identify and communicate potential concerns, challenges or obstacles that arise during project execution.
  • Maintain and manage relationships with clients, service partners and stake holders (internal and external) associated with assigned projects.
  • Provide regular updates on project progression and execution to internal leadership and clients.
  • Provide critical and outside of the box thinking toward problem solving.
  • Willingness to travel on an occasional basis to support project execution and client interface.
  • Procure and onboard vendors and suppliers required for project execution.
  • Maintain tracking systems for all pending, active and completed projects including but not limited to documentation uploads, status and schedule updates, sourcing and project notes etc.
  • Ensure accuracy in data entry.
  • Provide support and backup to the project bidding and estimating phases.

Qualifications:
  • High School Diploma or GED College degree preferred.
  • Minimum of 1 year project coordination or related experience; construction or project management experience a plus.
  • Proficient in the Microsoft Office suite, with moderate to advanced skills in Excel and Outlook
  • Capable of working independently under pressure, managing multiple tasks simultaneously, and adapting to changing priorities while maintaining personal effectiveness and efficiency
  • Strong commitment to customer service and teamwork.
  • Strong adherence to scopes, budgets, deadlines and schedule.
  • Skilled in clear and effective communication across multiple channels, including in-person, phone, email, and chat platforms.
  • Excellent verbal and written communication skills; excellent organizational skills and accuracy and attention to detail.
  • Ability to learn and work in various work order and/or project management platforms.
  • Demonstrates a strong work ethic and a commitment to personal accountability.
