As an Event Sales Coordinator at Belmont Park, you'll be at the heart of our event success, working closely with our Sales & Catering teams. You'll connect with clients, build lasting relationships, and help create memorable experiences by managing the planning, coordination, and execution of events. You'll also play a key role in marketing, promoting our events, and representing Belmont Park at various networking events and trade shows. This role values safety, fun, and delivering great value, and requires a flexible schedule to keep up with the fast-paced nature of the job.
What will you do:
Engage with Clients: Respond quickly and kindly to event inquiries via email, phone, and in-person, ensuring clients feel heard and supported.
Build Relationships: Get to know your clients and their event needs, creating strong and lasting connections.
Site Tours: Conduct informative tours of our event spaces, helping clients imagine their events here.
Customize Events: Work closely with clients to tailor event packages to their specific needs and expectations.
Upsell Opportunities: Offer additional options that enhance the event experience while boosting revenue.
Manage Documents: Efficiently handle event contracts, proposals, and invoices, providing clients with clear and organized paperwork.
Coordinate Internally: Collaborate with catering, operations, and other departments to ensure smooth event execution.
Oversee Logistics: Manage all event details, from setup to teardown, ensuring everything runs seamlessly.
Client Support: Be the go-to person for clients throughout the planning and event process, providing guidance and support.
Marketing & Promotion: Help create marketing materials and come up with strategies to attract new clients.
Represent Belmont Park: Attend networking events and trade shows to generate leads and expand our client base.
Keep Records: Maintain organized event records, including contracts, communications, and payment details. Ensure payments are collected before the event.
Maximize Revenue: Explore upselling and additional revenue opportunities to maximize each event's potential.
Show Appreciation: Send thank-you notes or small gifts to clients, and assist in securing repeat bookings.
Manage Schedules: Keep event calendars organized to optimize venue use.
Deliver Great Service: Provide outstanding customer service by promptly addressing client inquiries and concerns, always striving for satisfaction.
Exceed Expectations: Aim to exceed client expectations, creating memorable and successful events.
Handle Issues Professionally: Address any client complaints or concerns with professionalism and a commitment to resolving them quickly.
