Job Description:

The Division of Global Health Equity (DGHE), Department of Medicine, Brigham and Women's Hospital, fosters the support and coordination of training, research, and service to reduce disparities in disease burden and to improve treatment outcomes both at home and abroad. The Division focuses on diagnosis, prevention, and treatment of health problems, most directly of those that disproportionately affect populations in the developing world and of major importance to society. The DGHE is the administrative home of the Center for Integration Science in Global Health Delivery.


Directed by Dr. Gene Bukhman, the Center for Integration Science in Global Health Delivery focuses on implementing,and evaluating integrated care delivery models to address severe conditions such as type 1 diabetes, sickle cell, and rheumatic heart disease in highly constrained health systems. The Center for Integration Science is a Center within the Division of Global Health Equity in the Department of Medicine at Brigham and Women's Hospital and is a collaboration with the Department of Global Health and Social Medicine at Harvard Medical School and Partners in Health (PIH). The Center also serves as the co-secretariat for the NCDI Poverty Network.


The Program Coordinator for PEN-Plus will work as a key member of a team that supports approximately 14 countries to expand access to high-quality services for the poorest children and young adults with type 1 diabetes, sickle cell disease, and other severe chronic diseases. This program, called PEN-Plus, is a clinical model for severe noncommunicable diseases (NCDs) at rural hospitals. PEN-Plus builds on the World Health Organization's Package of Essential NCD Interventions (WHO PEN). Whereas WHO PEN addresses common NCDs at the health centers such as hypertension and type 2 diabetes, PEN-Plus focuses on hospitals and provides care for more severe NCDs such as type 1 diabetes, sickle cell disease, and rheumatic and congenital heart disease that require a higher-level of training and management.


The Program Coordinator will work closely with and be supervised by the PEN-Plus Program Manager. The Program Team works directly with the in-country teams to guide their work on PEN-Plus implementation. The Program Coordinator will assist with project and program management, coordinating all communication with partners, scheduling and facilitating routine calls, managing quarterly reporting from spearheading internal communication and systems to support it for program and clinical team members, facilitation of documentation, and leading the tracking and planning for key activities for cross-site PEN-Plus support.


Responsibilities and Primary Duties Include:


Scheduling and communication:


  • Support PEN-Plus Program through scheduling meetings, preparing meeting agendas, managing documentation, preparing meeting minutes, designing and implementing processes for routine feedback and collection of additional information, and other project-specific administrative and management needs as needed

  • Oversee the overall meetings plan for the Programs Team including schedules, participants, agendas, meeting minutes, and follow up

  • Ensure meeting notes are complete and accurate, and help identify and follow up on action items

  • Proactively manage Programs Team calendar, troubleshoot issues, send reminders, and streamline activities

  • Ensure documentation systems for the Programs Team are complete, up-to-date, and adapted as needed; assist Program Manager in ensuring Resource Library is updated

  • Support or, as required, develop communication pathways to ensure all collaborators are informed of objectives, goals, and progress. These responsibilities require excellent communication skills, very careful attention to detail, exceptional management of relationships and professional communication.

  • Assist team with coordination, technical support, and proactive communication with staff and stakeholders through workshops, emails, and site visits to programs to support the implementation of initiatives, troubleshoot challenges, and assess ongoing progress.



Other administrative duties:


  • Support cross-team communication to identify collaboration with communications team, administrative and finance team, events team, and others as needed

  • Work with the administrative team on any HR communications or needs for consultants who are working with the Programs Team

  • Work with the administrative team on ensuring travel and logistics systems are running smoothly and help implement any needed changes

  • As needed, coordinate travel for country visits, including coordination with local team, booking flights, facilitating visas and tracking COVID-19 restrictions as needed






Qualifications

Qualifications:


  • A Bachelor's degree required, Masters degree in relevant field preferred

  • 0-4 yrs of experience.

  • Interest in social justice and public health; global health experience preferred

  • Experience with project coordination, event planning and external communications with stakeholders is preferred.

  • This is a highly administrative role with significant repetitive tasks; candidate must be experienced and ready and willing to support a fast-moving and ambitious team in these areas

  • Strong and effective oral and written communication skills

  • Fluent written and spoken English; French and/or Portuguese a plus

  • Experience working with multiple stakeholders in a multicultural environment across countries, timezones

  • Strong interpersonal skills

  • Prioritize, multi-task and work well under pressure with competing priorities

  • Strong skills and experience in computing systems for documentation and remote work including managing and using communication platforms like zoom and Microsoft Teams; managing digital calendars; expertise in Microsoft Office suite (Word, Excel, Powerpoint)

  • Work effectively in a team environment and establish strong working relationships

  • Follow procedures and guidelines, but with the capacity to take initiative where appropriate

  • Strong organizational skills and an ability to meet deadlines

  • A friendly and approachable personality with a willingness to learn

  • Ability to work both independently and collaboratively;

  • Ability to interact with people from various cultural and language backgrounds.

  • Has a high degree of self-direction and initiative, especially in a remote environment

  • The candidate should have a meticulous attention to detail

  • Highly professional and in possession of excellent social skills for regular interaction with workgroup members, international government officials, and high-level industry executives;

  • Ability to manage several projects simultaneously;

  • This is a fast paced and exciting environment. We are looking for a self-motivated individual who is comfortable working independently and providing recommendations to the PI, Faculty, and organization leadership
