Job Description:

LHH is seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be skilled in managing complex schedules, coordinating communication, and handling various administrative tasks. This role is critical in ensuring the smooth operation of our executive office and contributing to the overall success of the company.

Key Responsibilities:
  • Executive Support:
  • Manage and maintain executive schedules, including arranging meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle confidential information with discretion and integrity.
  • Communication Management:
  • Serve as the primary point of contact between the executives and internal/external stakeholders.
  • Screen and prioritize incoming communications, including phone calls and emails, and respond as appropriate.
  • Coordinate and schedule meetings, including preparing agendas and taking minutes.
  • Administrative Tasks:
  • Organize and maintain filing systems, both electronic and physical.
  • Oversee office supplies inventory and place orders as needed.
  • Coordinate and manage company events, including team-building activities and client meetings.
  • Project Assistance:
  • Assist with special projects and initiatives as directed by the executive team.
  • Conduct research and compile data for various reports and presentations.
  • Monitor project timelines and deliverables to ensure timely completion.
  • Relationship Management:
  • Build and maintain strong relationships with clients, partners, and other stakeholders.
  • Facilitate effective communication and collaboration between departments and teams.

Qualifications:
  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Excellent organizational and time-management skills with the ability to prioritize tasks and manage multiple projects.
  • Strong written and verbal communication skills.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Proactive, resourceful, and able to work independently as well as part of a team.
  • Familiarity with project management software and tools is a plus.
