Join us now at Siemens Healthineers as a Management and Team Assistant for our Diagnostic Imaging team based in Malvern, Pennsylvania, USA.


As the Management and Team Assistant, you will be responsible for the following:


  • Provide administrative support to multiple business line Vice Presidents and their teams

  • Schedule complex meetings ensuring calendar optimization for business line Vice Presidents, demonstrating flexibility and problem-solving abilities

  • Coordinate travel arrangements (domestic and international) for business line Vice Presidents and reconcile expense reports in a timely manner

  • Liaise with Vice Presidents to handle requests and approvals

  • Coordinate and attends large team meetings, provide logistical on-site support, agenda preparation, in conjunction with Exhibits & Events team member

  • Reserve conference rooms, audio/video, arrange catering, and other essential services as needed for meetings and conferences

  • Monitor all information flow, including maintaining files and shared drives for efficiency and coordination of data

  • Create supply orders, purchase orders, and vendor payments

  • Prepare professional business communication documents including memos, letters and emails

  • Prepare Unrestricted reports by gathering and summarizing data; prioritize issues for legal team actions

  • Participate as needed in special department projects and events

  • Demonstrated ability to work as part of an administrative assistant team - collaborating and partnering with peers and providing benchmark customer support to broad teams

  • Strong verbal and written communications skills

  • Proven ability to appropriately prioritize competing projects and customer requests

  • Minimum of 8 years of successful experience in Executive support capacity

  • Software proficiency with at least 3 years of experience in Microsoft Office Suite

  • Strong time management and organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

  • Exceptional interpersonal skills and the ability to build relationships with cross department and functional stakeholders

  • Strong problem solving and planning skills

  • Ability to work flexible hours and travel as needed for off-site team meetings (averaging 1-2 times quarterly)

Required skills to have for the success of this role:




  • High School Diploma or equivalent required

  • 1-2 years of vocation/technical training or an Associate degree may be required

  • Specialized skill training/certification may be required
