Overview:


ACS Professional Staffing is looking for an employee to work on-site with our client. This Workplace Services Technician position offers essential services that support employees' commuting needs and virtual connectivity. Duties include managing GSA vehicle dispatch and maintenance, supporting mass transit, carpooling, bicycling, and parking programs, and providing Office Supply program and conferencing support. The role involves scheduling and supporting conference rooms, Webex, and video conferencing services. These combined services cater to over 200 conference rooms, thousands of virtual meetings, 5 motor pools (37 vehicles), and over 1200 employees who participate in alternative commuting and parking programs. This full-time position is located in Portland, OR.



Responsibilities:

  • Act as primary technical expert and coordination point of contact for assigned areas. Provide established program guidance in the absence of the primary program managers.
  • Perform periodic self-audits of processes and training/organization milestones and provide recommendations to facilitate monitoring and achievement of goals and timelines.
  • Act as liaison project team member and/or technical expert for Workplace Services projects and initiatives in support of the program, service delivery, and process improvements.
  • Provide, track, and assess training and assistance to other contract Workplace Services Technicians.
  • Reporting and Analysis:
  • Compile data for use in reports for assigned areas.
  • Analyze data to provide recommendations, and present recommendations to inform management. These efforts will assist management in making decisions regarding Workplace Services programs.
  • Recommend and develop process solutions to increase the efficiency and effectiveness of Workplace Services operations, leveraging industry knowledge and best practices.
  • Recommend process tools promoting effective coordination of the records, process maps and operating procedures that are shared or exchanged between work teams and functions.
  • Assist the Manager by providing guidance and training to Workplace Services contracted staff. Help facilitate the knowledge and skill set acquirements needed to support current and future operational demands.
  • Conferencing Services:
  • Provide company-wide Webex, Video Conferencing and Conference Room support:
  • Reserve, edit and cancel requests for clients.
  • Resolve scheduling conflicts.
  • Provide troubleshooting technical support for conference room equipment and virtual meetings.
  • Escalate conflicts concerning reservation guidelines / policy.
  • Support data collection efforts that track reservation and room utilization.
  • Perform conference room assessments and room utilization audits.
  • May serve as a POC for coordination of conference room service requests such as: furniture setups, equipment setups, and data connectivity.
  • May help coordinate and co-host Webex, or Rates Hearing Room (RHR) meetings.
  • Help maintain conference room matrix, listing most current conference room information as: room amenities, extensions, capacities, locations, room POC's, and other needed information.
  • Serve as a conferencing liaison with cross-departmental organizations in planning agency wide events such as Stand Up for Safety (SUFS), Commuting and Sustainability Fairs, and other types of events.
  • Commuting Services:
  • Support the HQ parking programs in compliance with guidelines / policy:
  • Submit required participant parking payroll deduction information to Accounts Receivable.
  • Monitor parking garage gate arm and intercom system for access into HQ parking garage.
  • Monitor HQ parking garage access and tracking system (Pro-Watch) and provide detailed information pertaining to garage utilization rate.
  • Collaborate with local parking agency (Doubletree) to obtain required participant cardkeys and parking data.
  • Perform parking audits and escalate HQ garage safety-related concerns or parking infractions to Commuting Office program manager.
  • Create parking permits for all Building 905 & 911 parking participants.
  • Validate parking tickets for new employees, visitors, and transit riders.
  • Provide clearance validation for transportation-related services on participants leaving HQ.
  • Assist with annual garage rotation process between HQ 905 and Doubletree.
  • Monitor cyclist lockers, fitness, and gear room access, track participant base and provide detailed program information to program manager.
  • Register new participants into the Transit, Van Pooling, and Bicycling programs (Vancouver / Portland), confirm reservations, and explain program guidelines.
  • Collaborate with local transit authorities for processing of new participant transit passes (photos, passes, annual pass stickers).
  • Support the Emergency Ride Home programs at Ross, Van Mall and HQ. Work with the City of Vancouver, Tri-Met and Seattle Transit in obtaining travel vouchers and distribute these vouchers to BFTE in time of need.
  • Prepare articles for newsletters, e-mail messages, and employee information packages.
  • Provide personalized assistance to customers seeking information on commute alternatives.
  • Help facilitate the HQ Loaner Bike program / process.
  • Serve as a trainer for all transportation programs. Participate in new employee orientations, business meetings, and informational forums, providing material detailing transportation options.
  • Maintain transportation records (mass transit, car/van pools, parking programs, and bicycle commute programs) and update statistical information on number of customers using alternative transportation. Provide information on usage of these programs to the Lloyd District Management Association, the City of Vancouver, and program manager.
  • Maintain Commuting Office registration SharePoint site, keep it up to date and accurate.
  • Assist with planning and participating in annual Commuting / Sustainability Fairs.
  • May assist as ETC (employee transportation coordinator) between the City of Vancouver and Go Lloyd. Duties include attend monthly ETC meetings, conduct wheel option surveys, and complete annual building transportation reports.
  • Review and validate annual bicycle commuting and monthly vanpool reimbursement requests with Commuting program manager.
  • Motor Pool Services:
  • Analyze and produce monthly reports on vehicle usage, destinations, carpooling, etc.
  • Provide analysis on damage to GSA Vehicles, damage costs, produce comparison data.
  • Compile, update and maintain a list of available vehicles.
  • Provide maintenance and tracking of vehicle reservations in the Outlook calendar for all motor pool locations.
  • Sort, file, and retain records, accurately in accordance with the Information Governance & Lifecycle Management (IGLM) standards.
  • Review and validate GSA vehicle service and repair invoices, in preparation for COTR certification.
  • Accident Prevention - validate GSA vehicles are maintained in optimal operating condition.
  • Verify all vehicles are equipped with required equipment sets and accident forms / instructions.
  • Inspect returned vehicles for damage or needed repair.
  • Escalate vehicle damage process as needed.
  • Schedule vehicles for preventative maintenance at required facilities.
  • Conduct walk-around inspection of customer and Motor Pool vehicles, review and note vehicle damages with customer prior to parking vehicle.
  • Assign motor vehicles for business travel (based on customer and geographic needs).
  • Maintain vehicle usage log, recording destination and duration (departure / return times) of trip, as well as mileage.
  • Maintain Motor Pool vehicle keys and issue / assign to customers (HQ in person / Van Mall - Dittmer / Lock Box).
  • Refuel vehicles during available time frames with required fuel types.
  • During low vehicle operation periods, operate vehicles a minimum of 15 miles a month.
  • Validate all motor pool vehicles are maintained in a clean / professional appearance.
  • Identify assigned vehicles needing repairs and report to Program Manager.
  • Support HQ Motor Pool operations:
  • Greet visitors arriving.
  • Obtain required information from visitors (building/organization, phone ext., return time).
  • Assign vehicle sequence number for retrieval purposes.
  • Position / park vehicle in best manner to reduce vehicle retrieval time.
  • Verify that all vehicles are secured while residing in Motor Pool.
  • Validate driver's credentials prior to issuing vehicle keys.
  • Instruct customers in GSA vehicle operation/use.
  • Enter mileage of all GSA motor pool vehicle each month in GSA vehicle fleet system.
  • Stock vehicles with required safety and GSA forms.
  • For declined reservation requests, provide requester with reservation decline confirmation.
  • Coordinate and perform GSA vehicle exchanges with support of program manager.
  • Validate parking for alternative commuter parking.
  • E-Bike Support:
  • Maintain and issue electric scooters at the direction of Reasonable Accommodations.
  • Maintain and issue E-Bikes for local business-related travel.
  • Provide operating instructions.
  • Provide helmet and reflective vest.
  • Inspect bike after use.
  • Service bike annually.

Requirements:

  • High school Diploma or GED equivalent is required.
  • 10 years of experience specific with one or more of the duties listed above, in the responsibilities is required.
  • Contract workers in these occupations usually need several years of work-related experience, on-the-job training, and/or Vocational training.
  • Demonstrated experience successfully working in demand driven environments.
  • Customer support skill sets (customer facing, phone, Outlook and virtual).
  • Demonstrated skills in juggling requests, spanning across numerous services (flexibility).
  • Demonstrated experience in dispatching vehicles, reserving conference rooms or virtual meetings, supporting alternative commuting and parking programs.
  • Understanding of computer operation and basic connectivity troubleshooting.
  • Basic understanding of cohosting virtual meetings (Webex).
  • Prior experience with scheduling Webex and video conferencing events.
  • Experience with Visio and process mapping.
  • Familiar with use of Skype.
  • Familiar with SharePoint at a system administration level.
  • Valid U.S. Driver's License is required.
