Join us and be part of a company that is shaping the digital future!About This JobAs an Office Administrator at 041 Agency, you will play a pivotal role in ensuring the smooth and efficient operation of our in-person office environment. You will be responsible for managing day-to-day administrative tasks, maintaining office organization, and supporting the leadership team. Your duties will range from managing the owners' calendars and inboxes to overseeing office supplies and operations. This is a hands-on, multi-faceted role that requires excellent organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced office environment.DutiesCalendar and Inbox Management: Act as the point of contact for the business owners, managing their calendars, scheduling meetings, and organizing travel arrangements. Handle email correspondence on behalf of the leadership team, ensuring timely follow-ups and responses.Office Operations: Oversee the day-to-day operations of the office, ensuring it runs smoothly. This includes managing office supplies, coordinating with vendors, and handling facility-related tasks.Reception and Front Office Management: Greet visitors, manage incoming calls, and ensure a welcoming environment for clients and guests.Document Management: Organize and maintain office files and records, both physical and digital. Handle the routing of documents for signatures and approvals.Meeting and Event Coordination: Assist in the planning and execution of meetings, company events, and other gatherings, including booking venues, preparing agendas, and taking meeting minutes.Mail and Package Handling: Receive and distribute incoming mail and packages, as well as manage outgoing mail, including preparing shipments and coordinating deliveries.Administrative Support: Provide administrative support to the leadership team and other departments as needed, including preparing reports, drafting correspondence, and managing special projects.Vendor and Supplier Coordination: Liaise with vendors and suppliers to ensure office needs are met and resolve any issues related to office equipment or services.Expense Management: Monitor and track office-related expenses, ensuring they are within budget. Prepare expense reports for the leadership team.HR Support: Assist with administrative tasks related to HR, such as onboarding new employees, maintaining employee records, and coordinating training schedules.QualificationsEducation: High school diploma or equivalent required; an associates or bachelors degree in Business Administration or a related field is a plus.Experience: Minimum of 2 years of experience in an administrative or office management role, preferably in an in-person office environment.Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling and email management tools. Familiarity with office equipment and IT systems is a plus.Organizational Skills: Strong organizational and multitasking abilities with the capacity to prioritize and handle multiple projects simultaneously.Attention to Detail: High level of accuracy in managing calendars, processing documentation, and maintaining office records.Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with employees at all levels and external clients.Interpersonal Skills: Strong interpersonal skills with a customer-service orientation.
