Job Description:

We are looking for an Executive Assistant to support a CEO and public figure in the Santa Barbara area. The Executive Assistant will provide comprehensive support to the CEO, overseeing operational tasks such as scheduling, managing communications, and aiding strategic initiatives. In this role, you will work closely with the leadership team as you all support the CEO in their multiple lines of business. The ideal candidate will be collaborative, a strong communicator, and resourceful.

We are open to Ventura County candidates and candidates who live in North Los Angeles who are willing to commute 2-3 days a week.

Duties and Responsibilities:
  • Coordinate with the CEO's personal assistant and executive team to manage an accurate calendar, handle scheduling requests, communicate changes, and address scheduling conflicts.
  • Monitor the CEO's tasks and projects, ensuring proper prioritization in line with deadlines and organizational priorities.
  • Manage the CEO's email inboxes with high discretion, ensuring timely responses to important communications.
  • Support the CEO in meetings by taking notes and providing operational assistance.
  • Facilitate seamless interaction with other executives, department heads, and team members; maintain professionalism and confidentiality under pressure.
  • Organize and file personal expenses.
  • Set reminders for crucial tasks and deadlines.
  • Maintain and update biographies and curriculum vitae.
  • Potential for global travel opportunities.
  • Assist with social media responsibilities.
  • Perform various supporting tasks, including research and dictation.
  • Act as a liaison with key organization members, external contacts, and family members.
  • Serve as the first point of contact for correspondence, phone calls, and online communications.
  • Travel to the CEO's home office in Santa Barbara approximately twice a week, with remote work on other days.
  • Undertake any additional duties as assigned.

Qualifications and Skills:
  • Minimum of 5 years of experience in a senior executive administrative role with a high profile individual.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel) and quick to learn new systems (Egnyte, Zoom).
  • High level of confidentiality and discretion.
  • Prior experience supporting a team
  • Superior organizational skills.
  • Strong teamwork capabilities.
  • Self motivated and capable of working independently.
  • Ability to manage multiple tasks, schedules, and information efficiently.
  • Comfortable working in a fast paced environment with numerous tasks and projects.
  • Energetic and proactive in taking on new projects.
  • Demonstrates critical thinking, effective communication, and relationship building skills.
  • Proficient with Macs and Apple products.

Compensation: up to $140,000 pending on experience plus full benefits
