We are looking for a highly experienced, motivated and enthusiastic Executive Assistant to join our dynamic and entrepreneurial team. This role requires strong organizational skills, discretion, and the ability to handle confidential information.
The ideal candidate will work both collaboratively and independently to support the CEO and its leaders. They must be a strong communicator with a high level of commitment, ownership, and keen sense of urgency.
This position reports to the Chief Executive Officer and will be located in the Princeton, NJ office.
Executive Support (80%)
Provide dedicated administrative support to the CEO including calendar management that appropriately balances leadership availability, resolving scheduling conflicts, as well as travel arrangements and expense reporting
Respond rapidly and professionally to a high volume of scheduling requests and changes.
Assess situations to determine the importance, urgency, and risks, and make clear decisions which are timely and in the best interests of the organization
Diligently manage confidential and sensitive information including follow up on action items relating to programs, projects, leadership team meetings, board presentations, etc. to support timely turnaround
Prepare for and schedule meetings; create and distribute meeting minutes
Work and collaborate with HQ, in China, to support CEO's needs
Support the preparation of meeting materials include creating slides in PowerPoint for meetings and speaking engagements, etc.
Anticipate, understand, and respond to the needs of internal and external stakeholders to meet or exceed their expectations within organizational parameters
Other administrative duties as needed
Other Support (20%)
Provide support to other executive leaders, including but not limited to expenses
Support other functional areas and members of the organization's leadership team with special projects as needed
Qualifications
Undergraduate degree or equivalent experience is required
5+ years' experience as an EA to C-Suite roles
Excellent written and oral communication skills, must be bilingual (fluent in English and Mandarin
Experience in the biotech or pharma industry preferred
Experience in public companies preferred
Excellent time management skills with a proven ability to meet deadlines
Ability to work in a quick-paced environment, adapt well to changing circumstances, direction and strategy
Aware of and able to navigate diverse cultural backgrounds
Attention to detail and great organizational skills Proven ability to handle sensitive and confidential information with integrity and discretion, exercising sound judgment, and being proactive
Execute and exhibit good judgment
Experience recognizing needs, solving problems, and anticipating issues; solid analytical and creative problem-solving skills
Experience with Concur preferred
Ability to work independently and with limited supervision
Proficient with Microsoft Office Suite or related software (including PowerPoint and Excel)
