JOB SUMMARY:

Assists in the management and coordination of all functions in the Reservation Services area in Campus Reservations & Events. Takes lead on the invoicing process for Reservation Services. Other duties as assigned.

JOB DUTIES:

35% - Essential - Reservation Services: Assists in the management of the daily operation of the Guest Services Desk including day-to-day operations. Works with clients and guests to assist them with their reservation requests, venue inquiries, and general concerns/questions. Assists in the supervision of student staff to ensures all student employees receive training, support, and a valuable learning experience.

30% - Essential - Invoicing: Manages the invoicing process for all events that fall under the Reservations Services area of CRE. Serves as the point person for the questions related to cost worksheets and invoices in the reservation process to ensure clients receive accurate quotes while planning their events.

20% - Essential - Financial Management: Assists in the accounts receivable tracking process to ensure payments are received and reminders are sent, as needed. Running reports and submitting purchase order requests for events that involves a 3rd party vendors, as applicable.

10% - Essential - Support with Campus Partnerships: Work with campus partners and build new partnerships across campus to build rapport. Prioritize clear communication to effectively serve their specific needs as it relates to events and reservations while following departmental and university standards and expectations.

5% - Essential - Departmental: Serves as a member of Campus Reservations & Events staff by meeting regularly with supervisor, attending staff meetings, retreats, and participates in departmental committees. Supports departmental reporting and assessment efforts. Provides valuable input on departmental processes and business practices.

MINIMUM REQUIREMENTS:

Education - High School or Equivalent
Work Experience - 1+ years

PREFERRED REQUIREMENTS:

Education - Bachelor's Degree - Event planning or financial management.

RESPONSIBILITIES:

JOB KNOWLEDGE
Firm Job Knowledge - Firm working knowledge of concepts, practices and procedures and ability to use in varied situations

SUPERVISORY RESPONSIBILITIES
No Supervisory Duties - Not responsible for supervising employees.

BUDGETARY RESPONSIBILITIES
Provides Budget Input - Provides input into the budgeting process, and oversees fund allocation.
