Job Description:

The role will be responsible, under minimal guidance, for performing management and administrative duties relating to the company's real estate and oil & gas assets.

Additional responsibilities include: Answering telephone, screening and directing calls, taking and relaying messages. Greeting employees and visitors entering the office, monitoring and granting visitor access as directed. Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and clerical functions are properly assigned and monitored. Preparing correspondence and documents, receiving/sorting faxes, emails, U.S. mail, deliveries, and errands. Coordinating logistics of in-office meetings, including organizing refreshments and meals. Coordinating domestic and international travel arrangements, including booking transportation and facilitating point-to-point transportation. Performing general administrative and clerical duties such as processing expense reports and managing client contact information databases. Maintaining multiple executive calendars and scheduling meetings, conference calls, and business appointments. Maintaining records of incoming/outgoing actionable mail. Monitoring and maintaining office equipment, controlling inventory and supplies relevant to the office. Conducting occasional research in preparation for meetings. Coordinating office/suite maintenance with building personnel. Partner with HR to maintain office policies as necessary. Organize office operations and procedures. Manage contract and price negotiations with office vendors, service providers, and office lease. Provide general support to visitors. Responsible for creating PowerPoint slides and making presentations.

Requirements: Bachelor's Degree in Business Administration or related field and/or paralegal certification. 3+ years of administrative, oil & gas related experience. Excellent verbal and written communication skills. Curiosity and an eagerness to learn and develop professionally. Strong organizational skills and meticulous attention to detail. Flexibility and team orientation with a proactive approach to problem-solving. Ability to prioritize multiple tasks in a dynamic, deadline-driven environment. Advanced proficiency with MS Office Suite (MS Word, Outlook, Access, Excel, PowerPoint). Advanced proficiency in Salesforce. Advanced proficiency with the Drillinginfo/Enverus suite. Experience in ArcGIS a plus, but not required. Experience in ComboCurve a plus, but not required. Professional demeanor and personal presentation. High ethical standards.
